Who You Are

You are a highly organized and versatile creative coordinator with on-set production experience. Your role encompasses managing the entire lifecycle of video production projects, from pre-production planning through post-production processes. You are skilled in coordinating logistics, scheduling, and communication across teams. Additionally, you have a keen eye for creative development, such as storyboarding and content management, and are adept at handling both the technical and administrative aspects of video shoots. You also play a crucial role in ensuring the quality and organization of content, making you an integral part of the creative team.

Job Description

As a Creative Coordinator, you will be instrumental in overseeing the entire production process of video shoots. Your responsibilities will include pre-production planning, where you'll coordinate with team members to schedule shoots, secure locations, and prepare necessary documentation and communication tools such as Pre-Production Books and call sheets. During production, you will manage logistics such as props, equipment, and on-site arrangements, ensuring everything runs smoothly and adheres to the shooting schedule. You'll also assist in creative tasks like translating scripts into storyboards and maintaining content tracking systems.

Your role extends to post-production, where you will be responsible for cataloging content, managing communications with the editing team, and ensuring all materials meet initial quality standards before revision. You'll handle all necessary post-shoot wrap-up activities, ensuring locations are left in their original state and all equipment is accounted for. You’ll also be working alongside our in-house Art Director and assisting them with ad hoc tasks. 

Responsibilities include:

  • Pre-Production and Planning: Begin preparations 1-2 weeks prior to video shoots by scheduling, booking locations, and coordinating with the team. Manage internal communication through platforms like Slack and Outlook, ensuring all necessary documents like Pre-Production Books and call sheets are sent to talent and crew.
  • Production Execution: Oversee all aspects of shoot preparation, including purchasing and organizing props and equipment. On shoot days, assist with setup, cleanup, and manage changes in locations and outfits, while maintaining the shooting schedule. 
  • Creative Development and Management: Translate scripts into storyboards and create shot lists in collaboration with the Art Director. Maintain the Creative Tracker updated with key project information, ensuring all content is well-organized and cataloged.
  • Content and Documentation Workflow: Handle uploading and cataloging of both internal and external content, manage backup procedures, and keep communication lines open with the team about content status. Update essential documents like the Creative Department Scorecard regularly and ensure all post-shoot content meets quality standards before the first revision.
  • Post-Production and Support: Assist with the initial grammar and spell check before content is handed off to the Art Director. Communicate with editors regarding any b-roll changes, and assist the Art Director and Producer with various tasks.

Results-Driven Experience

Our ideal candidate will have experience that matches our company’s needs. This includes:

  • Full-cycle production management experience
  • On-set shoot management experience 
  • Understands marketing and has agency experience 
  • Experience in Adobe Premiere Pro and Adobe Photoshop preferred
