Job OverviewThe mission of the Bids and Contracts department is to seek and establish sales opportunities that increase company revenue and expand market penetration of our products and services through multiple sales channels related to bids and contracts. This position is primarily responsible for a) structural preparation of request for proposal responses according to requirements and team standards; b) completion of standard vendor registrations and catalog bids; c) upkeep of document retention and team metrics; and d) contracts administration, management, and retention.
Location: Remote, USA
Job ResponsibilitiesDistrict and State RFP, Listings, and Adoption Bid/Proposal Support
  • Create and assemble structural proposal elements (create covers, tabs, binders, forms, and insert proposal documents) under the direction of the Proposal Development Manager and/or Associate
  • Ensure aesthetic quality and attention to detail.
  • Order replacement supplies for proposals.
  • Ensure all agency physical proposal delivery requirements have been addressed.
  • Ship, track, record, and retain proof of delivery.
  • Obtain approval and signatures from authorized company signatories.
  • Facilitate contract renewal administration and retention according to protocol.
  • Read through initial bid terms and conditions for flagging issues and/or considerations.
  • Complete proposal forms for the Proposal Manager and/or Associate.
  • Under the direction of Proposal Managers and/or Proposal Associates, complete state and district adoption bid forms, sample submissions, and approval signatures.
Completion of General Company Vendor Registration Forms and Catalog Bids
  • Using a reference guide and previous forms, complete vendor registrations that request general company information for all business units.
  • Call attention to standard company operating procedures for selling and ordering and their deviations from bid terms and conditions.
  • Develop and maintain standard operating procedure for catalog bid submissions.
  • Ship, track, record, and retain proof of delivery.
  • Facilitate contract renewal administration and retention according to protocol.
  • Maintain database of access credentials for bid submissions, bid monitoring sites, and internal resources.
Miscellaneous Office and Coordinator Functions
  • Daily administrative Functions (shipping prep, data entry, office supply orders, sample orders, sample prep, RFP preparation/binder assembly, copies, faxes, labels, tabs, mail, box assemblies, check requests, report maintenance, file systems, maintenance of team equipment [copiers, faxes, etc.], etc.)
Sample Preparation, Ordering, and Shipping
  • Ordering samples from Customer Service.
  • Charging samples to the proper business unit.
  • Organizing samples as they come in.
  • Preparing samples with precision and attention to detail (correct labels for configurations and kits).
  • Shipping samples via FedEx online.
  • Charging shipping to the proper business unit.
  • Keep printer supplies up-to-date.
Contracts Administration and Retention
  • Administer, retain, and record team contracts and agreements, per protocol.
  • Reporting and tracking may be required.
Job Requirements
  • Bachelors degree preferred and/or several years of relevant work experience in the education, legal, or government sectors
  • Intermediate proficiency with Microsoft programs (Word, Excel, and Office) and their Google suite equivalents
  • Intermediate Qvidian experience/expertise preferred
  • Intermediate SharePoint experience/expertise preferred
  • Intermediate proficiency with project workflow tools (currently using KissFlow)
  • Intermediate DocuSign experience preferred
  • Intermediate ability with Web searching, researching, and data wrangling
  • Proven basic understanding and knowledge of Adobe software
  • Experience with fast-paced persistent production, communicate clearly and concisely with all levels of personnel (executive management, middle management, associate, coordinator, etc.) in many different forms (chat, email, meeting, presentations, etc.)
  • Proposal development experience ideal
  • Experience with the K-12 education technology industry preferred
  • Experience with legal documentation/contracts desired
  • Notary Public with Remote Notary certification preferred
