Description
US Immigration Law Role - Focused on the PEOPLE - manages client incoming pipeline, sales, intake process and consultation engagement and closing.
Are you an immigration paralegal, attorney, or assistant that loves immigration law mostly because you love the clients and making them happy? Are you driven by the reward of making others' dreams come true and their expression of gratitude for your work. Instead of drafting cases would you prefer to be in a role that is predominantly about communicating with clients and taking care of them and getting them set up for the best consultation and immigration journey they could possibly experience? You can do this because when a client calls/emails you know what questions to ask to determine their needs, you then know what documents to ask for and you respect and admire the attorneys on your team as the best in their field, so that you feel confident to enroll clients into our services. Then this role is perfect for you.
Join our dynamic team and be a part of our mission to make our clients feel genuinely cared for as they navigate the complexities of the immigration process. Our clients include businesses and their respective employees in the fields of: fashion; technology; advertising; hospitality; finance; property development and construction; AI; design; architecture; art and more. We also represent many high-profile clients who are extraordinary in their fields of business, the arts, athletics or sciences. Our clients are the lifeblood of our business, not only because they are our clients but because they are fun, interesting, engaging and make our everyday work alongside our awesome staff, thoroughly enjoyable and rewarding.
We are seeking a dedicated Scheduling and Client Intake/Care Specialist to join our team. In this role, you will play a pivotal part in selling/influencing clients to engage in a consultation and ensuring our clients receive a seamless and supportive experience from their initial contact with the firm through to their consultation and the completion of their immigration cases, fostering a feeling of confidence and trust. Your primary responsibilities will include hospitality, welcoming clients from initial inquiry, fostering trust and confidence with intelligent, knowledgeable responses as related to immigration law, but also evoking a sense of partnership and care. You are evoking our brand of high excellence, high support, and first class service with every client interaction. You know how to sell the firm's institutional knowledge, services and ethos. This will be via initial responses (call and/or emails) to clients, scheduling client consultations based on an understanding of what visa category the client might qualify for, managing client intake procedures, gathering personal details and documents from the client, setting the attorneys up with as much information about the client as possible before a consultation and providing compassionate support to clients throughout their immigration journey.
Compensation:
  • Salary range: $60,000 - $70,000 depending on experience
  • Paid Time Off
  • Health Benefits after 90 days
  • Eventual 401k Matching
Responsibilities
•Managing the incoming client pipeline, responding to inquiries and selling/influencing clients to enroll in our services which begin with a consultation with one of our attorneys.
•Schedule client consultations and meetings with attorneys in the Clio case Management System.
•Take ownership of the intake process, helping to develop systems and procedures to streamline and systematize the process taking advantage of what the Clio case management platform has to offer and looking into potential integration of CRM's where we want capabilities beyond Clio Case Management (like automated reminders, capturing client data, creating client contact groups for marketing and outreach purposes).
•Upon initial contact with new and returning clients, have an understanding of what their immigration needs are, be able to ascertain the type of visa/green card/ help they will need and then ask qualifying questions to gather as much information as possible before the attorney will conduct the consultation with the client.
•Manage the schedules of two attorneys, coordinating their client consultationsappointments and ensuring they are adequately prepared for each client consultation.
•Manage the consultation scheduling process, updating the client, attorney, and calendar with any changes.
•Collaborate closely with attorneys and paralegals to ensure client inquiries are responded to in a timely manner.

•Provide empathetic support and guidance to clients, addressing their questions and concerns with professionalism and care.
•Maintain organized records of client communications and case-related documentation.
•Embrace a service-oriented attitude focused on anticipating and fulfilling the needs of clients, attorneys, and staff involved in each client case. Continuously seek opportunities to enhance the client experience and streamline internal processes.

•Always looking for ways to make the process as easy and painless for clients as possible.
•Demonstrate a growth mindset in exploring and implementing technological solutions to improve the intake and client care process. Actively contribute ideas and strategies for leveraging technology to enhance efficiency and effectiveness.
Qualifications
