For nearly a decade, Camp Fire Heartland served as a department of Camp Fire’s National Headquarters, also located in Kansas City. In April of 2020, Camp Fire Heartland became an independent non-profit and council of the larger Camp Fire network. The organization has experienced considerable growth in the past 4 years and expects to continue expansion at a fast pace. This position is newly created and will require innovation, flexibility, creativity, and a strong commitment to youth development.
Job duties:
General:
· Collect, code, and get proper approval on all AP invoices; enter invoices into accounting program
· Download monthly credit card reports and import into accounting program
· Participate in the bill payment process by matching checks with invoices, assuring checks are signed, and delivery/mailing of payments
· Responsible for the processing, balancing, and recording of all daily cash receipts and lockbox deposits
· Enter recurring credit card donations and process all credit card payments
· Maintain and reconcile petty cash funds
· Calculate monthly finance charges in accounting program
· Print and email monthly customer statements
· Create month end journal entries (selective), and enter journal entries in accounting program
· Processes invoices for grant reimbursements.
· Assists program directors in all financial expenditures.
· Completes budget and financial analysis for program funds.
HR:
· Maintain employees in payroll system and accounting program
· Manage bi-weekly payroll and import into accounting program
· Process all new employee offer letters/background screenings
· Conduct annual employee/board/volunteer background checks
· Responsible for the verification of the completion of all new hire paperwork
· Maintain personnel files
Afterschool:
· Develop organizational systems to ensure all attendance is collected and entered into the student attendance database at least weekly.
· Enters student information in the 21st Century portal for grant reporting.
· Ensure all grant documentation is collected, entered in database, and proper stored.
· Determine programming options that ensure consistent student attendance.
· Manage child care subsidy process including application and billing.
· Organize and balance long-term goals while prioritizing daily tasks in a fast-paced environment.
· Be able to focus for extended periods of time reading/understanding rules and regulations, creating written narratives and/or managerial plans, entering data and conducting data analysis, and managing budgets.
· Be able to work with frequent interruptions and changes in priority.
· Performs other duties as assigned.
