Position: Executive Assistant for Advancement AdministrationDepartment: Institutional AdvancementStatus: Full TimePosition SummaryOversees the administration of the Department of Institutional Advancement by performing a variety of administrative duties that require independent judgment, diplomacy, sensitivity and strict confidentiality. This position reports to and supports the administrative needs of the Vice President of Institutional Advancement as well as the entire central advancement office to include development officers and alumni engagement. Essential Duties And Responsibilities
Manage correspondence, communication, scheduling, special events, reporting, travel arrangements and other support for the Office of Institutional Advancement, as needed.
Demonstrate superior interpersonal skills and professional conduct in interactions with the University’s broad array of constituents.
Answers phone and screens visitors, refers call to appropriate person, takes messages and serves as informational resource.
Supports the facility needs of the Cornelia Campbell Alumni House.
Provide management and support for special projects as needed for the department.
Maintain a database of the Presidential Board of Advisors and coordinate all Presidential Board activity and materials for meetings.
Coordinate catering orders and facility reservations.
Assist with oversight of departmental budgets. Track budget and extra-budget expenditures, including issuing and tracking all purchase order requisitions, check requisitions, travel vouchers, and receiving reports.
Collect, review, and process Advancement-related credit card reconciliations each month.
Assist with occasional events and programs off-campus and on evenings and weekends
Uphold and abide by Campbell University policies and procedures, including but not limited to Title IX, and Information Security, including but not limited to; HIPAA, FERPA and other state and federal mandates.

Education/Experience
Bachelor’s Degree preferred
3-5years experience in a higher education or non-profit sector desired
Knowledge, Skills, And Abilities
Ability to communicate effectively to all groups through both oral and written channels
Strong interpersonal, organizational, and time management skills
Comprehensive computer skills, with the ability to learn and utilize new and emerging technology
Proficiency with Microsoft Word, Outlook, Excel, PowerPoint and standard methods of digital communication, including web/text/chat platforms
Demonstrate tact, a positive attitude, courtesy and discretion in dealing with university trustees, faculty, staff, students, high-level university officials and the public
Work independently as well as function effectively in a team and within a diverse group of people.
Exercise independent judgment in complex, new, and/or stressful situations.
Manage multiple, concurrent projects, and meet set deadlines
Adaptability, flexibility and a willingness to work in a changing environment
Ability to work occasional evening or weekend hours
