Job Summary The Accounts Payable Specialist will maintain current accounts and assist in invoicing functions. They will also analyze expense reports to assign payments to the proper cost centers, work with vendors to resolve past due invoices and reconcile monthly statements with vendors within a specific industry. Essential Duties & Responsibilities Review all invoices for appropriate documentation and approval prior to payment Process 3-way P.O. matching invoices, up to 100 plus line items Prioritize invoices according to cash discount potential and payment terms Process check requests Audit and process credit card bills Match invoices to checks, obtain all signatures for checks and distribute checks accordingly 1099 maintenance Respond to all vendor inquiries Reconcile vendor statements, research and correct discrepancies Assist in month end closing Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices Supervisory Responsibilities No supervisory responsibilities. Education & Experience 2 years of Accounts Payable experience High school diploma required, college courses in accounting preferred Proficient in Excel and Word, 10-key by touch, Oracle and SAP experience a plus basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills Prior experience working with SAP or similar accounting system Good knowledge of accounting practices, procedures and regulations governing accounting practices Excellent verbal, written, and interpersonal communication skills Disciplined, organized, and thorough individual who is a self-starter Demonstrated mastery in multiple tasking Effective in an entrepreneurial culture, working independently and as part of a team Knowledge, Skills & Proficiencies Must have strong work ethics Must be well organized and a self-starter, able to follow standard filing procedures Detail oriented, professional attitude, reliable, strong problem solving skills Ability to type 60-65 wpm Possess strong organizational and time management skills Ability to communicate effectively verbally and in writing Ability to interact with employees and vendors in a professional manner Ability to speak and write English and Spanish fluently (a must) Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately Skill in operating phones, personal computer, software and other IT systems. Ability to pay close attention to detail and to ensure accuracy of reports and data. Fluent in English and Spanish Physical Requirements This position works under usual office conditions. The employee is required to work at a personal computer as well as be on the phone for extended periods of time. Must be able to stand, sit, walk and occasionally climb. The incumbent must be able to work extended and flexible hours and weekends as needed. Physical demands include ability to lift up to 50 lbs.
