We are currently hiring a Centralized Scheduling Specialis t . Under direction and collaboration with the Practice Administrator, the Centralized Scheduling Specialist will be responsible for the management and optimization of provider and staff scheduling templates. This role will serve as a Super User for both Athena (EMR) and QGenda (Digital Scheduling Platform).

This is an on-site position located at our business office in Oakton, Virginia.

Schedule: 30 Hours, Monday-Friday

Responsibilities

• Apply scheduling template structure at the direction of the Practice Administrator to maintain a rolling 12-month schedule for each provider.
• Analyze and advise on template optimization to maximize patient access, scheduling density, and provider productivity.
• Maintain provider schedule to include adjustments as required.
• Demonstrate understanding of productivity and business optimization by making data driven decisions to modify appointment schedules.
• Complete same day appointment conversions within Athena EMR.
• With advisement from the Practice Administrator, process provider time off and schedule change requests.
• Maintain both provider and staff QGenda profiles.
• Enter staff schedule templates upon hire or adjustment.
• Run scheduling automation.
• Utilize available reporting to advise department heads as appropriate.

Knowledge, Skills, and Abilities

• Basic knowledge of HIPAA and OSHA regulations preferred.

Requirements

• High school diploma or equivalent required.
• Centralized scheduling experience required - Provider scheduling for a multi-provider practice strongly preferred.
• EMR Superuser - Athena Experience is strongly preferred.
• Highly proficient in Excel to include data analyzation, formulas, pivot tables.
• Scheduling software experience required - QGenda is strongly preferred.
• Adherence to Capital Area Pediatrics immunization and testing requirements.
• Ability to multi-task and perform well in a fast-paced patient care environment.
