We are currently looking for the right individuals to join our Administrative team with openings in our Front Desk, Tour Reception, Gifting, Contracts and Dispatch.

Please read below for more information on each department.

Front Desk / Tour Reception / Gifting Department:

Responsible for providing customer services to guests, undertaking various administrative duties, diffusing conflict, and ensuring an enjoyable experience.

Pays $16-$17/hr. Requires availability during daytime hours weekends required.

* Greet and check-in guest

* Assist guests with; collecting payments/pre-auth payments; making reservations for entertainment, lodging; and/or planning itineraries for shows, attractions, and restaurants

* Resolve customer complaints

* Run and prepare reports opening and closing

* Answer phones

* Communicate all pertinent and required information/reports for Management (DOS, DOM, T.O., Admin. Manager, etc.)

* Provide information to guests about the area, including directions and show information

* Work with theater staff, and other vendors to reserve entertainment, food, and lodging

* Prepare and distribute vouchers for shows, restaurants, and lodging, including collecting payment for those vendors

* Coordinate with Sales Manager on any additional gifts to be issued for New Owners

* Prepares count and profiles of tours for the entire day

* Updates numbers to Sales Managers as more tours are added

* Communicates with Admin Manager or Leads with unusual tours/gifts

* Maintains clean lobby, stocks magazines or literature

* Provides final daily breakdown numbers of tours including the type of tours, the arrived tours, no show tours and corrects data entry of these tours to Marketing and Sales at the completion of the day

* Other duties as assigned

Dispatch Department:

Provide administrative support to the marketing team, business partners, guests, and owners.

Pays $16-$17/hr. Requires availability during daytime/evening hours weekends required.

* Data entry of all tours booked by marketing

* Answer and direct calls from marketers, business partners, guests, and owners

* Maintain and submit proper records on a daily basis

* Assist with organizing OPCs tour schedules

* Communicate all confirmations and tour times available for the following day

Contracts Department:

The Contracts Processor processes all contracts and credit reports, as well as reports credit standings, submits applications for credit via Bank of America, and verifies proper equity while making certain all sales staff comply with company policies.

Pays $17-$18/hr. Requires availability during daytime hours weekends required.

* Types up and verifies all contracts

* Runs credit reports and reports the resulting information

* Maintains inventory reports

* Verifies and discloses results from equity reports

* Compiles files

* Maintains accounting for monies received

* Completes all other duties assigned

Skills, Knowledge and Abilities Important for Members of our Administrative Team:

* Proficient in Excel and Word

* Basic computer skills

* Well organized

* Maintains accuracy

* Excellent customer service skills

* Ability to communicate both written and orally.

* Flexible schedule with the ability to work evenings, weekends and holidays.
