Position Overview:
The Executive Assistant to the CEO will be a critical partner to our CEO, ensuring smooth day-to-day operations and helping manage their calendar, communications, and strategic initiatives. The ideal candidate has outstanding organizational skills, discretion, and the ability to work well under pressure. This is a highly visible role, offering a unique opportunity to work directly with the CEO and be a key contributor to Cardin McCoy’s success.
Key Responsibilities:
Administrative Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Handle daily correspondence, draft emails, and manage incoming and outgoing communications on behalf of the CEO.
- Act as a gatekeeper, screening and prioritizing requests for the CEO’s time and attention.
Meeting & Event Coordination:
- Prepare agendas, presentations, and materials for meetings and ensure the CEO is well-prepared.
- Attend meetings, take notes, and follow up on action items as needed.
- Plan and organize executive events, offsite meetings, and team gatherings.
Project Management:
- Assist the CEO with special projects and initiatives, coordinating with other team members as necessary.
- Track progress and ensure timely completion of projects, identifying and addressing any issues along the way.
- Organize and prioritize tasks to align with the CEO’s strategic goals.
Communication & Liaison:
- Serve as a point of contact between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality.
- Coordinate communication and ensure key information flows between the CEO and various departments.
- Draft and distribute internal memos, reports, and other communication materials on behalf of the CEO.
Travel & Expense Management:
- Arrange domestic and international travel, including flights, accommodations, and itinerary planning.
- Prepare and submit expense reports, track expenditures, and manage budgeting for travel and events.
Data Management & Reporting:
- Conduct research, compile data, and create reports and presentations to support the CEO’s decision-making.
- Maintain confidential files, records, and databases.
- Assist in preparing and distributing performance reports, company updates, and other key documents.
Executive Support:
- Anticipate the CEO’s needs and proactively provide support to ensure smooth operations.
- Handle confidential and sensitive information with the utmost discretion.
- Foster a positive and professional environment, representing Cardin McCoy’s values and culture.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- 3 years of experience as an Executive Assistant, ideally supporting C-level executives.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
- Ability to manage multiple tasks, set priorities, and meet deadlines in a fast-paced environment.
- High level of discretion and confidentiality.
- Adaptable and proactive, with the ability to anticipate needs and act with minimal guidance.
