This may include front desk/receptionist duties to ensure staff and visitor safety; offering office support and administrative duties; assisting with office equipment, inventory, supplies, and assisting Caritas fleet assigned to the HQ building. This position reports to the Office Manager. EEO Status: Non-Exempt ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, although other duties may be assigned. Responsibilities.
Collaborates with and supports Chiefs and Program Directors to ensure administrative support is available to all programs and/or departments residing in the building.
Performs office functional duties such as: processing mail, answering phones, greeting visitors, scheduling, and setting up meetings in the conference/meeting rooms, ensuring adequate office supplies are available for staff, managing work order requests, ensuring office equipment in working order, etc.
Assists in the management of Caritas fleet assigned to building/HQ-based programs ensuring scheduling for usage, maintenance, and general upkeep. Reconciles vehicle gas card transactions and report any discrepancies to Finance.
Completes vouchers for office purchases or services rendered, when applicable.
Maintains daily log for incoming checks, cash, and credit card transactions.
Assists Office Manager with management of vendors (water, copier, cleaning, shredding, vending, etc.)
Ensures office complies with accreditation requirements, such as fire and tornado drills and monthly building inspections.
Manages Petty Cash for program/department use.
Ensures adequate file storage on site and manages off-site file storage for legacy and long-term files.
Assists Office Manager in assignment/workspace for new hires, current staff, coordinating with other administrative and program staff to ensure adequate on-boarding.
Supports efforts towards staff morale initiatives and/or events.
Qualifications QUALIFICATION REQUIREMENTS: Minimum requirements include an Associate's Degree/60 hours of college credits, and two years of experience running an office, or four years of experience running an office successfully. Ability to function autonomously and navigate and understand vendor agreements/contracts and provide oversight for building management
