Job Title: Associate Director of Student Financial Aid

Position Overview:
The Associate Director of Student Financial Aid will have primary responsibility for maintaining the office's financial aid management system, PowerFAIDS, completing internal and external reporting requests for data (i.e. NCAA, COFHE, US News & World Reports, etc.), and completing the end of year reporting for institutional, federal, and state requirements. This role will also oversee the annual audit. Additional responsibilities include assisting in the coordination and review of financial aid applications by packaging and awarding aid and meeting with prospective and current students/families and managing the awarding of Veteran's benefits.
Essential Job Functions/Responsibilities:
  • Providing leadership to the financial aid team regarding improvements and daily/annual maintenance of PowerFAIDS
  • Maintaining and ensuring accurate data in the financial aid system
  • Provide consultation and training to staff about the use of PowerFAIDS
  • Researching and collecting of data using various databases and completing of reports and surveys as required and requested by internal and external parties.
  • Serve as the main contact for electronic transfer of data with Federal and State entities, College Board Profile, IDOC, net price calculator and other data sources.
  • Managing the annual financial aid audit and periodic program review requirements.
  • Meeting and communicating with students, their parents, campus advisors, and other pertinent constituencies about financial aid eligibility, requirements, availability and individual circumstances, where appropriate.
  • Reviewing of financial aid applications, including FAFSA and CSS Profile documents.
  • Understanding and interpreting the FM and IM need analysis computations.
  • Assisting in formulation and implementation of College financial aid policies. Using these policies in a uniform and standard manner, while applying professional judgments for exceptions in appropriate situations.
  • Understanding and interpreting rules and regulations requirements for federal and state awarding and verification of appropriate data.
  • Responsible for awarding of Veteran's benefits (Yellow Ribbon), which requires coordination with the Registrar
  • Representing Carleton's Student Financial Aid Office at outreach functions and selected professional meetings.
  • Completing other duties as assigned and required by the Director or Dean.
Education/Experience/Skills:
Required: :
  • A four-year degree and have at least 7 years of experience in an administrative, counseling or student services office at a college setting.
  • Must be able to work independently, communicate effectively and be motivated to assist students and their families in affording a high-cost college education.
  • Must also demonstrate the ability to maintain and extract appropriate information accurately from a large data set.
  • This is a full-time, 12-month exempt position that may require occasional work situations beyond the normal office hours.
Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels.
