The Machine Learning Department (MLD) at Carnegie Mellon University is a leading hub for research and education in artificial intelligence and machine learning. MLD is on the lookout for a dynamic and dedicated individual to join our team as the Assistant to the Department Head! In this pivotal role, you’ll be the right-hand to our Department Head, providing a wide array of administrative support to keep our department running smoothly. If you love tackling challenges head-on and excel in a fast-paced environment, this position is tailor-made for you. What You’ll Do: Produces reports and correspondence; prioritizes and schedules meetings, travel arrangements, etc. Ensures all supporting information is produced and available. Provides administrative support for department head: coordinates meeting logistics and resources, manages calendars, arranges travel, submits expense reimbursements, reconciles procurement card purchases, etc. Reads, collates, and responds to email on behalf of the department head. Performs research to respond to requests and summarizes findings; completes special projects as assigned. Attends various meetings within the department. May serve on inter-departmental committees. Supports department level, large meetings, and events such as faculty retreats and holiday events. Maintains calendars to ensure time-critical issues such as faculty hiring, student meetings, group meetings, project reviews, etc. are added to faculty calendars. Updates content on department website. Acts as liaison on behalf of MLD between faculty and the web support team (TCP) and SCS MarComm. May create content/stories or motivate others to do so. Acts as a liaison or contact person with other university departments, i.e., Dean's Office, President's Office, etc. Provides general office management by setting up and maintaining complex file systems.
