We are seeking an organized, digital-savvy Email Production Manager, who will own all technical aspects of email campaigns, from production to platform management. The ideal candidate will be a stellar project manager with an eye for detail, who lives and breathes email best practices.
Day-to-day, the manager will be responsible for maintaining schedules and campaign reporting, as well as overseeing the Email Production Coordinator in building and routing email campaigns. On a broader level, they will be responsible for big-picture strategies like staying abreast of and applying best email practices, creating efficiencies in workflows, training colleagues, documenting processes, making data-informed recommendations, and managing the backend of our email platform.
This position works closely with colleagues across the institution to ensure departmental and institutional email campaign objectives are met flawlessly and efficiently. Campaigns mainly support ticket sales for all events at Carnegie Hall, customer service communications, constituent stewardship, fundraising, and educational outreach and recruitment.
The ideal candidate will work successfully in a high-pressure environment with evolving deadlines and demands from many different departments within the organization. It is important that they can react quickly and efficiently to timely matters, and work with multiple stakeholders to ensure that communication is maintained.
Tasks & Responsibilities:
  • Oversee and execute email building, routing schedules, and gaining stakeholder approvals.
  • Effectively manage the organization-wide email calendar, informing necessary stakeholders of potential conflicts while ensuring internal and external deadlines are met.
  • Make data-informed recommendations for improvements based on response rates and testing.
  • Identify and direct roadmap projects to align with industry standards and best-practices ensuring necessary stakeholder buy-in.
  • Manage task assignment, testing, project completion, and follow-up.
  • Maintain email projects and timelines within project management software (Lytho), ensuring optimal use of the platform.
  • Actively seek opportunities for growth in thoughtful marketing automation by creating more efficient and effective workflows.
  • Create process and workflow documentation.
  • Serve as onboarding specialist and account technical contact for multiple email accounts.
  • Host internal staff trainings as needed.
  • Closely monitor email deployments from all email accounts and ensure branding alignment.
  • Ensure technical aspects run smoothly between the ESP (Wordfly) and CRM (Tessitura).
  • Complete technical maintenance of the email system and processes.
  • Collaborate with technical support and Carnegie Hall’s IT teams to resolve issues efficiently.
  • Maintain relationships with third-party vendors.
  • Work occasionally after-hours or on weekends and on occasion, respond to time-sensitive needs.
Skills & Qualifications:
  • Extensive experience with enterprise-level email marketing platforms, CRMs, and project management software (Tessitura, Wordfly, and Lytho a plus)
  • Advanced HTML and CSS skills
  • Basic Photoshop knowledge
  • Familiarity with Google Analytics
  • Knowledge of GDPR, CAN-SPAM, and email database management best-practices
  • Ability to partner with multiple stakeholders and manage overlapping deadlines
  • Thorough and detail-oriented approach to all aspects of role and responsibilities
  • Strong customer service skills
  • Culturally responsive, exceptional written and verbal communication skills
