Administrative Assistant

Essential Functions:
This position supports the office with a multitude of administrative tasks that are required at a busy professional services firm. This includes but is not limited to:
  • Oversee phones and transferring calls
  • Filing of paperwork, scanning, emailing and mailing of various documents
  • Managing client traffic
  • Assist with incoming payments, mail, shipments and distribute accordingly
  • Assist with monthly billing process
  • Managing postage and shipping fees
  • Setting appointments, meetings with staff, partners and clients as needed
  • Maintaining cleanliness and orderliness of office and kitchen areas, including supplies and restocking as necessary
  • Participating in cross-training of administrative functions across all departments
  • Collaborate with others to work on projects/tasks as needed
Requirements:
  • 3 years of administrative experience
  • Experience in a CPA Firm, banking or PEO, environment preferred
  • Strong data entry skills
  • Ability to work fulltime hours Monday through Friday and overtime as needed during seasonal deadlines
  • Proficiency in: Word, Excel, Outlook, Adobe PDF
  • Well-developed interpersonal skills.
  • Ability to get along well with diverse personalities; tactful, mature, and flexible.
  • Ability to operate independently and self-manage projects.
  • Ability to perform several tasks concurrently with ease and professionalism.
  • Well developed administrative/management skills.
  • Ability to establish credibility and be decisive, but able to recognize and support the Partners’ preferences and priorities.
  • Comfortable performing multifaceted projects in conjunction with normal activities.
  • Excellent written and verbal communication and critical thinking skills
  • Strong comfort level with technology and learning new programs
