School Secretary/Office Clerk
Registration ResponsibilitiesREPORTS TO: Principal
JOB OBJECTIVES: (Purpose of the position):
To complete the detail and written work and to coordinate other matters essential to the efficiency and effectiveness of the administrative supervisor.
ESSENTIAL JOB FUNCTIONS (Functions Essential To Attaining Job Objectives)Strategic Goal Area I –Student Achievement
  • Obtain, gather, and organize pertinent data as needed, and put it into usable format to be shared with School Administration, Department Chairs, or other teams in the school.
  • Assist administration and instructional staff in providing appropriate learning environment for student success.
Strategic Goal Area II – Stakeholder Engagement and Loyalty
  • Perform any bookkeeping tasks associated with the position. Work with the bookkeeper to ensure tasks are completed in a timely manner.
  • Maintain a schedule of appointments. Make arrangements for conferences with staff, parents, etc. and interviews with potential employees.
  • Welcome visitors and arrange for their comfort. Screen unexpected callers in accordance with predetermined policy.
  • Perform usual office routines. Usual office routines could consist of assisting with the switchboard, answering/directing phone calls within the office, greeting and directing visitors, sorting mail, and answering all necessary emails.
Strategic Goal Area III – Efficient and Effective Operational Processes
  • Maintain a regular filing system, as well as, set of locked confidential files, and processes incoming correspondence or requests as related to these files in a timely manner.
  • Place and receive telephone calls necessary to the position. Record messages and distribute messages in a timely manner.
  • Order and maintain supplies as needed.
  • Assign duties to and supervise the work of clerical office personnel.
  • Type letters, reports, memos, etc. from rough drafts or corrected copy.
  • Operate a computer system which includes but is not limited to Infinite Campus, Microsoft Office (Word, Excel, Power Point, etc.).
  • Read incoming mail and sorts it to the department/person addressed in a timely manner.
Strategic Goal Area IV – Continuous System and School Improvement
  • Attend job related trainings and workshops.
  • Perform such other duties and tasks and assume such other responsibilities as may be assigned from time to time by administration.

  • Adhere to the Code of Ethics for Educators in Georgia.
  • Demonstrate prompt and regular attendance /timeliness.
  • Complete assignments and requirements on time and in compliance with directions.
  • Maintain accurate, complete, and appropriate records and file reports promptly.
  • Maintain confidentiality of information and records for students and staff.

  • Technical College Certificate minimum
  • Minimum 5 years in similar job
