Case Industries LLC is Hiring a Remote Client Scheduling Specialist

We are seeking a highly organized and detail-oriented client Scheduling Specialist to join our team. As a client Scheduling Specialist, you will be responsible for managing and coordinating the schedules of our clients, ensuring efficient and effective appointment booking and management. This role requires strong communication and organizational skills, as well as the ability to prioritize and multitask in a fast-paced environment.

Responsibilities

  • Coordinate and manage the schedules of our clients, ensuring timely and efficient appointment bookings and rescheduling as needed
  • Communicate with clients to confirm appointments, provide reminders, and gather necessary information for appointments
  • Maintain accurate and up-to-date client records, including contact information, appointment history, and any special instructions or preferences
  • Collaborate with team members to ensure smooth and coordinated scheduling across all departments
  • Utilize scheduling software and tools to manage and track client appointments and availability
  • Monitor and adjust schedules to accommodate changes in client needs or priorities
  • Provide exceptional customer service to clients, addressing any scheduling conflicts or concerns promptly and professionally

Requirements

  • High school diploma or equivalent; additional certifications or education in administration or related field is a plus
  • Proven experience in scheduling or administrative roles, preferably in a client-facing setting
  • Excellent organizational and time management skills, with the ability to effectively prioritize and multitask
  • Strong communication skills, both written and verbal, with the ability to interact professionally with clients and team members
  • Proficient in using scheduling software and tools, with fast and accurate data entry skills
  • Detail-oriented and able to maintain accurate records and documentation
  • Strong problem-solving skills, with the ability to adapt to changing priorities and handle unexpected scheduling conflicts or challenges
