Case Western Reserve University is Hiring an Admissions Operations & Systems Manager Near Cleveland, OH

POSITION OBJECTIVE
The Admissions Operations and Systems Manager will serve as a core member of the graduate admissions team. Actively supporting the recruitment, selection, and attraction of the strongest possible student body for Weatherhead School of Management. The manager will lead the development and implementation of initiatives that facilitate improved business processes and integration with admissions and enrollment systems. Collaboration with the enrollment and recruitment team, as well as other centralized departments, including University Technology (UTech) and University Marketing team is essential for success.
Utilizing the application management system Slate, which is instrumental in the department's success, the manager will collaborate in a cross departmental Slate Captain's team to identify and execute impactful system enhancements.
Essential Functions
  • System Administration and Data Integration: Own and administer all aspects of the school of management Slate system, including its integration with other campus systems. Maintain accurate migration of admissions data from Slate to the centralized institutional Student Information System (SIS) and ensure accurate and timely import of all admission and financial aid data from SIS to Slate. Maintain the integrity of data imported into and exported from Slate. (25%)
  • System Optimization and Enhancement: Keep current on newly released Slate features and tools, assess unused resources, and recommend projects and feature enhancements. Simplify and improve systems using cost-benefit analysis to prioritize work and recommendations. Establish testing protocols and systems of checks and balances on behalf of the school of management. (10%)
  • Strategic Reporting and Analysis: Manage and deliver administrative reporting on enrollment data, processing production, and other strategic reports. Develop application and admission reports for benchmarking and year-over-year comparison; analyze and measure the success of application and onboard processes. Provide annual updates for website content such as admissions deadlines, application instructions, and frequently asked questions to ensure accuracy for management reports and ranking surveys. (20%)
  • Communication and Collaboration: Ensure the timely execution of admissions and financial aid print and digital communications and maintain documents and processes for printed communication. Serve as a liaison to the admissions and recruitment team, collaborating with the communication team specialist and marketing team to build, document, and manage graduate communication plans. Prepare dashboards and documents for the admissions committees, providing input on ways to improve processes. (20%)
  • System Management and User Support: Oversee the creation, update, and maintenance of Slate-hosted applications, portals, and forms to support strategic initiatives, including annual cycle prep and improvements. Design, create, and update admission and event portals in Slate to match brand guidelines and strategic initiatives. Create resources and documentation for Slate user training and processes; troubleshoot Slate technical issues as they arise. In collaboration with the Slate systems administrator at the enterprise level, build and manage the annual calendar as a resource for cycle prep and planning. (25%)
Nonessential FuncitonsPerform other duties as assigned including but not limited to attending admissions and current student events, supporting graduation and orientation programming. (<1%)
CONTACTS
Department: Continuous contact with all personnel in the immediate department, dean's office, faculty and staff.
University: Regular contact with information technology, admissions offices, financial aid and registrars.
External: Occasional contact with prospective students, vendors, other contacts as needed and alumni.
Students: Frequent contact with current students.
Supervisory ResponsibilitiesIn coordination with the broader enrollment and recruitment team will manage the workflow of all application and admissions processing. May supervise admissions operations coordinators and graduate student employees.
QUALIFICAITONS
Experience: 1 year of experience in higher education and/or sales operations. Previous supervisory experience of full-time employees preferred.
Education/Licensing: Bachelor's degree required.
Required Skills
  • High-level analytical skills and excellent computer skills, including the ability to work with advanced MS Office, complex databases, and spreadsheets.
  • Experience utilizing complex information held databases. Prior experience with Slate, along with any knowledge/ experience in Salesforce, SQL, CSS, HTML, and Tableau.
  • Strong understanding of enrollment/higher ed landscape and admissions, including familiarity with at least three years of experience in admissions.
  • Superior demonstrated written and oral communication skills, proactive communicator.
  • Intuitive decision-maker who takes satisfaction in leading your unit and takes ownership of the responsibility and authority of your position.
  • Thrives in a fast-paced and changing environment and leads with a collaborative and positive attitude that supports the mission of the school.
  • Experience leading processes across teams and leading business processes in optimization and automation initiatives.
  • Ability to understand and solve multi-dimensional problems through system analysis and collaboration with others, attention to detail, excellent organizational skills, and the ability to prioritize work and anticipate scheduling needs to meet deadlines.
  • Ability to work independently and motivated by complex challenges of enrollment and the opportunity to creatively problem-solve.

WORKING CONDITIONS
Identify the working conditions and physical demands which relate to the essential functions of the position, such as working indoors/outdoors, working with exposures to hazards, etc. Include special considerations for the position, such as occasional travel or necessary overtime.
This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
