Job Description

POSITION OBJECTIVE

The Assistant Provost and Special Advisor provides expert advice and strategic direction on a wide range of issues and opportunities. This position collaborates with the Deputy Provost to plan and execute strategic initiatives and projects that enhance Case Western Reserve University's (CWRU) academic mission. Responsibilities include offering valuable input on institutional priorities, faculty engagement and advancement, the student academic experience, and the communications efforts of the Provost's Office.

The Assistant Provost will also provide guidance on assessing the ongoing effectiveness of strategic programs and initiatives and recommend changes to improve project outcomes.

The Assistant Provost will analyze academic policies and make recommendations for change and enhancement. This position also serves as a resource for content of communications with campus partners regarding special projects and initiatives.

Additionally, the Assistant Provost will provide strategic leadership for others that may emerge within the Office of the Provost. This position is a member of the core leadership team of the Provost and serves on the Provost's Advisory Council.

The incumbent will play a critical role in triaging and resolving issues that arise within the academic and administrative operations in The Office of the Provost.

ESSENTIAL FUNCTIONS

  1. Provide oversight for strategic initiatives and special projects that align with the Provost's institutional priorities and CWRU's academic mission and serve as a key liaison with the Provost between deans, administrators, faculty, students, and other university constituents. Plan and executive management of projects to facilitate collaboration and changes. Evaluate the effectiveness of strategic initiatives. Advise on program improvements and initiate changes.(35%)
  2. Facilitate and participate in strategic discussions for academic policies and programs to enhance the value of a Case Western Reserve University education. In partnership with Faculty Advancement, collaborate in research and consultation to faculty for the development and design of new programming, best practices and new techniques around delivery of educational content. (25%)
  3. Lead the task force for civil discourse project by creating environments where faculty, students and staff can engage in civil disagreement and debate, fostering understanding, empathy and critical thinking. Bring existing programs, events, workshops together to create opportunity for engagement across differences. Encourage open-minded exploration, risk-taking and freedom of speech. Promote and build trust across the university with authentic engagement, honesty and transparency. (15%)
  4. Provide triage services for sensitive and complicated inquiries to the Office of Provost. Gather information and data and research issues. Prioritize, make recommendations, and assist others in navigating their issues and challenges to reach a resolution. (10%)
  5. Supervise the Manager for Communications and Special Projects, responsible for advancing initiatives of the Office of the Provost through development and implementation of strategic communications plans and messages, as well as the conduct of research, preparation of related materials. Oversee the manager of all communications originating from the Provost and select designees, including speeches, talking points, op-ed columns, articles, and correspondence. Collaborate with University Marketing & Communications regarding unified messaging. (10%)

NONESSENTIAL FUNCTIONS

CONTACTS

Department: Daily contact with the Provost and the Deputy Provost to set priorities. Regular contact with academic leadership.

University: Frequent contact with campus partners. Service on committees as appointed by the Provost and the Deputy Provost.

External: Periodic contact with administrators at other institutions. Occasional contact with members of the community.

Students: Occasional contact with students.

SUPERVISORY RESPONSIBILITY

Director supervisory responsibility for the Manager of Communications & Special Projects.

QUALIFICATIONS

Experience: 10 years of related administrative experience with high levels of responsibility for managing complex processes and requiring maturity, good judgment, and discretion required.

Education: PhD is required.

  3. Ability to assimilate and communicate information clearly and accurately to a variety of audiences. Ability to write clear copy for sharing with targeted audiences.
  4. Ability to work independently with minimal supervision.
  5. Ability to make effective and sound decisions. Highly organized with ability to track and resolve problems.
  6. Ability to maintain awareness of trends and issues in higher education.
  7. Ability to work proactively and cooperatively with staff and with others in the university. Ability to interact with colleagues, supervisors and customers face to face.
  8. Ability to work with precision and attention to detail and to meet deadlines for task completion.
  9. Ability to meet consistent attendance.
  10. Flexibility to take on other tasks to serve the work of the office as a whole.
  11. Proficiency in current software applications: spreadsheet, database, PowerPoint, electronic calendar, word-processing, email, Zoom, Adobe products; and ability to quickly learn the Student Information System.
