POSITION OBJECTIVE
The Clerkship Manager is primarily responsible for managing all aspects of the third-year clerkship courses within the School of Medicine. This role involves collaborating with the clerkship assistant deans, directors, faculty, and coordinators to ensure the successful implementation and delivery of clerkship activities within the learning management system.
The clerkship manager plays a critical role in ensuring the smooth operation and success of clerkship rotations within the school of medicine. With a focus on the third year of medical school, this position involves coordinating schedules, managing resources, and facilitating communication between faculty, students, and administrative staff to enhance the educational experience for all stakeholders.
Essential Functions
  • Clerkship Scheduling and Site Assignments: Coordinate clerkship scheduling and site assignments for third-year medical students. Work closely with the assistant deans for clerkships, associate director of clerkships and electives, and hospitals to secure appropriate rotations and placements. (25%)
  • Manage the content and organization of the Learning Management System (LMS) and Scheduling City-Wide Didactics: Organize and schedule city-wide didactic sessions for clerkships. Collaborate with clerkship directors, coordinators, and clerkship faculty to ensure optimal timing and content delivery. Review, edit, and post relevant materials into the learning system. Ensure alignment with clerkship objectives and school of medicine policies. (30%)
  • The MetroHealth-CWRU Longitudinal Integrated Clerkship (MCLIC): Oversee the coordination and management of the course within the learning management system. (20%)
  • Clerkship Directors Retreats and Joint Clinical Oversight Group (JCOG): Facilitate and organize retreats for clerkship directors to discuss program improvements, curriculum updates, and best practices in clerkships. Support the groups’ meetings. (7%)
Nonessential Functions
  • Cohorting for Clinical Programs: Facilitate the process of cohorting students for clinical programs. Ensure equitable distribution and optimal learning experiences for students participating in clinical rotations. (5%)
  • Clinical Immersion - Field Experiences: Support the coordination and implementation of field experiences for medical students. Collaborate with faculty to plan and execute the field experiences in community sites. (5%)
  • Serve as liaison between faculty and students: Respond to student inquiries and feedback regarding clerkship courses and field experiences. Facilitate communication between faculty, students, and administrative staff as needed. (4%)
  • Coordinate with the office of curricular affairs and university technology for continuous quality improvement of the learning management system. Review events in the system for inaccuracies and research issues for resolution: Ensure accuracy and completeness of learning manage events related to clerkship rotations. Address any discrepancies or technical issues promptly. (2%)
  • Proctoring examinations (2%)

    CONTACTS
    School: Regular communication with associate director of clerkships and electives, clerkship assistant deans, directors, and coordinators, Office of Curricular Affairs, Registrar’s Office, Student Affairs, and Office of Student Assessment.
    University: Occasional collaboration with University Technology
    External: Regula interaction with affiliate hospitals.
    Students: Regular communication with third-year medical students regarding clerkship assignments and course logistics. Occasional communication with the first-year students regarding the field experiences.
    SUPERVISORY RESPONSIBILITY
    No direct supervisory responsibility
    QualificationsExperience: 3 years of relevant experience in education or similar role required.
    Education/Licensing: Bachelor’s degree required.

    • Proficiency in using technology and adapting to new systems and tools, including Learning Management Systems.
    • Excellent communication skills, both written and verbal, for effective interaction with faculty, staff, and students.
    • Attention to detail and accuracy in managing complex projects and administrative tasks.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Demonstrated problem-solving abilities and sound judgment.
    • Proficiency in Microsoft Office Suite and basic database management.
    • Flexibility to adapt to changing priorities and work schedules.
    • Ability to meet consistent attendance.
    • Ability to interact with colleagues, supervisors, and customers face to face.
    WORKING CONDITIONS
    General office environment with occasional evening hours required.
    This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
