JOB SUMMARY
Village Health Partners (now a part of Catalyst Physician Group) is seeking a Front Office Supervisor to join our Plano team. The Front Office Supervisor will play a key role in ensuring smooth operation of our office by overseeing all front office activities, managing staff, and providing excellent customer service to our patients. Previous supervisory experience in a healthcare setting is required. Medical Assistants with previous supervisory experience are encouraged to apply.

Responsibilities:

• Hire, onboard, train, and mentor staff to ensure high-quality service delivery and adherence to office policy and procedure
• Approve timesheets and monitor PTO and overtime
• Daily huddles with front office team members
• Assist with quarterly check-ins and yearly performance reviews
• Collaborate with other departments to streamline processes and improve overall efficiency
• Code and track invoices appropriately and submit for payment
• Manage patient inquiries, complaints, and concerns in a timely and professional manner, striving to resolve issues to the satisfaction of all parties involved
• Build and maintain professional relationships with building representatives and vendors
• Inventory management, ordering supplies, and maintaining equipment
• Daily close and cash audits
• Maintain accurate patient records and ensure compliance with privacy regulations, including HIPAA
• Monitor provider schedules, add or block appointments, and reschedule patients as needed
• Maintain confidentiality of patient and personnel information

Qualifications:

• 3 years of previous management or supervisory experience within a medical office or outpatient clinic
• EMR experience required - Athena preferred
• Superior customer service and communication skills, both verbal and written
• Highly motivated and organized
• Knowledge of and adherence to HIPAA and OSHA rules and regulations
• Skilled in identifying problems, researching, and recommending solutions
• High degree of initiative, judgment, discretion and decision-making
• Exceptional leadership and mentoring skills
