The Administrative Manager is responsible for managing the daily operations of the parish and supervision of the administrative staff at the St. Patrick and St. Malachi locations.

The Administrative Manager is responsible for managing the daily operations of the parish and supervision of the administrative staff. The Administrative Manager serves as the steward of the physical, financial and human resources of the parishes and supports the Pastor in the accomplishment of objectives and responsibilities for those parishes.

Essential Job Responsibilities

Leadership Responsibilities
  • Provides day to day direction to staff and volunteers so the parishes run at optimal efficiency and successfully accomplish parish goals and objectives. Direct reports include:
  • Parish Administrative Team
  • Communications Coordinator
  • Oratory /Campus Operations Coordinator
  • Parish Accountant
  • Maintenance Team
  • Develops policies, procedures and systems which ensure productive and efficient operation in compliance with Diocesan business practices.
  • Accomplishes results by communicating clear job expectations; plans, monitors and reviews results and performance.
  • Provides job orientation and training as needed.
Administrative Responsibilities
  • Assists and supports the Pastor and in consultation with Parish Financial Council and core staff members and other parish leaders to deliver problem solving, project management and execution of stated priorities, goals and objectives.
  • Serve as ex-officio member of the Buildings and Grounds Committee, Parish Council, Finance Council, Restoration Committee, Parish Pastoral Staff and any other established by the Pastor where membership is necessary
  • Serves as the primary point of administrative contact and liaison with both internal and external offices, individuals and institutions on a range of specified issues such as:
  • WeGiveCatholic
  • Catholic Charities Appeals
  • Malachi Run
  • Facility Rentals
  • Manages parish database, ParishSoft, in partnership with office team to maintain appropriate access and confidentiality to ensure:
  • accurate data such as donations is recorded
  • reports are generated for various projects, i.e. sending emails, determining amount of donations for ministries, tracking donations etc.
  • Maintains Virtus files and ensures all participants have completed all requirements.
  • Supervises completion of the Parish Bulletin in partnership with the communications coordinator
  • Supervises maintenance of the parish calendar; ensures coordinated activities and communication.
Financial Responsibilities
  • Leads and manages financial activities of the parish including:
  • Developing and maintaining accurate financial information such as financial tracking and reporting (regulatory and Diocesan) for the parish; maintains electronic or paper-based files
  • Researching, planning and preparing fiscal budgets in coordination with Parish Finance Council
  • Managing all aspects of payroll such as recordkeeping, timekeeping, quarterly/annual reporting and data integrity
  • Approving or delegating sound financial purchasing decisions and monitoring and reconciling expenses (credit card, bank accounts, petty cash); investigate any irregularities in account history as necessary
  • Supervising the management of regular accounting/bookkeeping activities including facilitating financial payments, processing check requests, maintaining expense accounts
  • Establishing and overseeing parish internal controls
Facilities Responsibilities
  • Manages all aspects of vendor relationships for equipment, maintenance and software contracts including:
  • Reviewing contracts and making recommendations to change if necessary
  • Communicating with vendors and overseeing or delegating on-site meetings and labor
  • Works with facilities lead to conduct regular facilities and grounds inspections; recommends maintenance, mechanical, electrical, grounds and facility modifications as necessary
  • Ensures security and emergency preparedness procedures are implemented properly; responds appropriately to safety hazards or emergencies
General Responsibilities
  • Completes other duties as assigned
  • Advocates for the parishes both internally and externally
