SUMMARY
The Admissions Associate is responsible for all steps of the admissions process by stewarding families through the application process, shadow experience, and financial pathways. This role manages all aspects of financial pathways including tuition assistance, scholarships, and the Wisconsin Parental Choice Program. The Admissions Associate works closely with the Associate Director of Enrollment, working as a team to increase enrollment, meet annual goals and analyze key metrics related to enrollment. The Admissions Associate also works with other departments to continually improve the enrollment process to create a customer-focused experience.
Essential Duties & Responsibilities
· Assist with the application process by working with students and families including application, acceptance, registration, and financial pathways such as tuition assistance, scholarships, Caritas Fund, Special Needs Scholarship Program and Wisconsin Parental Choice Program .
· Serve as liaison for families exploring CMH financial pathways including tuition assistance, scholarships and Wisconsin Parental School Choice Program.
· Serve as the Choice Administrator, helping parents navigate application process and staying current with DPI reporting deadlines.
· Utilize admissions data management software to effectively track, update and document communication with prospective families from initial inquiry to application to enrollment.
· Coordinate all shadows experiences with prospective families and connect with current students as shadow hosts reviewing schedules and availability.
· Work with Associate Director of Enrollment to foster relationships with supporting parishes and schools establishing a regular communication system and onsite recruitment presence such as school visits, high school fairs, and High Interest Days.
· Assist Advancement Team with recruitment activities/events including school visits, Open House, Fun Fridays, Junior Crusader Events, Registration Night, and other activities to welcome prospective families to CMH.
· Work in conjunction with the finance department for school audits and enrollment reporting.
· Keep the unique Catholic identity in the forefront of all communication and activities.
· Coordinate volunteers at fundraising events such as Crusader Auction, One Day in May, Golf Outing, etc.
· Assist the Advancement team in other areas and events as assigned.
School Choice Administrator:
· Serve as the WPCP Administrator and maintain active status including ongoing training through the Department of Public Instruction and School Choice Wisconsin.
· Understand and follow all DPI deadlines and responsibilities related to a WPCP school for CMH to maintain active status and families to meet application and acceptance deadlines.
· Identify prospective students that may be eligible for WPCP program and follow up with parents about applying to meet all deadlines and requirements for the program.
· Prepare for required monthly DPI reports and tasks, including 2 audits per year (fall & spring).
· Communicate and update internal staff and faculty on DPI requirements and changes while maintaining respect and discretion for participating families.
· Work directly with other WPCP parishes and schools to help families transition to high school.
Tuition Assistance/Scholarship Program:
· Manage all applications for assistance on software platform system.
· Serve as the liaison for prospective families to answer questions and steward them through the tuition assistance and scholarship process.
· Coordinate biweekly Financial Pathways Committee meetings to review applications, develop agenda items, and communicate awards/scholarships to families determined by the committee.
· Assist in the process and awarding of merit-based scholarships and grants.
Minimum Qualifications:
· Bachelor's Degree in business administration, communications, marketing or related fields.
· Prior experience in high school or college admissions/recruitment.
· Ability to work collaboratively with students, parents, prospective students/parents, staff and community leaders.
· Proficiency in Microsoft Office.
· Customer-focused mentality.
· Available to work nights, weekends and extended days at events, school related functions, committee meetings, etc.
Preferred Qualifications
· Experience working with database management or application tracking system a plus.
· School Choice Administrator experience a plus.
· Bilingual abilities are a plus.
