About the Program and Position:

In short, Good enough is not good enough. This approach defines all phases of our work as an organization, including a careful assessment of post-intervention outcomes and effectiveness.
The Compliance Department effectively ensures that Cayuga Centers is in full compliance on an organizational, program, and contract level with all funding and licensing entities to meet the needs of our large, diverse, geographical-spread human services agency.
The Compliance Department is composed of 5 teams:
Federal Programs Compliance
Enhanced Family Foster Care (EFFC) Program Compliance
Treatment Family Foster Care (TFFC) and Regional Programs Compliance
Home and Community-Based Treatment & Support (HCBTS)
Florida Programs Compliance
Each team helps their assigned programs be aware of, understand, and meet all applicable regulations and standards. If applicable, they help programs improve to meet regulations and standards when they are not met. We aim to always be audit-ready.
Essential Functions:
Manage NYC and Auburn, NY file rooms, including inventory of archived files, maintaining files for easy retrieval, and tracking locations of transferred files.
Secures and protects the privacy of documents.
Look for ways to improve file management and tracking systems and devise new systems as needed.
Coordinate across departments to fulfill requests and ensure timely submissions.
Ensure all paperwork, digital forms, and files are accurate before scanning or submitting to external parties.
Serve as the main point of contact for Federal requests for files.
Manage and maintain the NYC file room. Ensuring file room space is neat and organized.
Prepare file boxes for transportation and storage regularly
Maintain tracking system for medical packets and file boxes for storage including weekly pickup from the medical department
Support compliance teams in managing internal file reviews.
In coordination with the Assistant Vice President of Federal Programs, establish and maintain processes for managing assigned tasks, setting quality and performance standards, and assessing potential completion risks.
Word processing: Including responding to emails, composing letters, completing computerized documentation, transcribing minutes for meetings, etc.: This involves sitting at a computer for a minimum of 5 hours and could be up to 7 hours a day depending on program needs
Completing paperwork -Such as copying and stapling
Answering phones, processing mail, filing, and lifting packages
Perform other duties as requested by the Assistant Vice President of Federal Programs and Compliance Officer.
Schedule:
Regular hours entail 9:00 am - 5:00 pm or 8:00 am - 4:00 pm, Monday - Friday
Must be flexible to meet program needs
Travel outside of work hours may be required
Experience and Skills:
Proficient in Microsoft Office and Google Workspace
Previous experience managing physical and digital files
Minimum 2 years of challenging customer service-related work.
Excellent attention to detail and strong organizational skills
Demonstrated written and verbal communication skills that reflect a commitment to collaboration and service.
Experienced in self-directed management of projects
Ability to stay focused and accomplish work in an environment with shifting priorities and multiple competing deadlines.
Flexible and adaptable team player.
Comfortable with a certain amount of ambiguity
Ability to work additional hours and travel as needed.
Willingness and desire to continuously learn and grow
Flexible to travel upstate to Auburn, NY as needed
Must be able to lift up to 50 pounds
Walk up/down stairs
Walk several blocks to get to the required location
Comply with rules and regulations governing access to Protected Health Information (PHI) under HIPAA.
Comply with the Office of Refugee Resettlement (ORR) and federal program regulations on file retention and destruction
Bilingual-English / Spanish preferred
