Associate, VIP Relations

About the role:

CHANEL is looking for an Associate, VIP Relations to join our USA VIP & Influencer Relations Team at our New York Office. You will play a leading role in the overall support of styling teams during prep days and fittings days leading up to events. Together with Senior Group Director and Senior Manager, create, implement, and champion strategic vision and VIP initiatives. 

What impact you can create at CHANEL:

  • Execute seedings: Handle retrieving talent addresses, communicating with talent on packages, working with external vendors on any additional assets (i.e card creation) and handle delivery to recipients. 
  • Handle delivery around Holiday gifting for Influencer talent and communicate with external vendor on wrapping, gifting and inventory. 
  • Manage daily send-out and returns to talent for various occasions ranging from content shoot to one off seedings or events. 
  • Coordinate transportation, flights, glam bookings and build itineraries for talent during traveling shows and events. 
  • Updating events deck for all influencers and POI attendance 
  • Update show attendee addresses and sample deliveries and pick up.
  • Working closely with the analytics team on events tracking and inserting handles of attendees prior to an event. 
  • Book talent for occasional F&B appointments with beauty experts. 
  • Assist with sample returns post events and showroom organization overall 
  • Liaise with Global on dressing deck ahead of a show. 
  • Use Fashion GPS to sign samples in and out of our VIP Database 
  • Book local messengers for send outs and returns. 
  • Liaise with the press team on collection transfers to VIP closet. 
  • Handle all glam service agreements with The Wall Group or other vendors ahead of booking glam for talent. 
  • Update internal travel and hotel charts with information on transportation, addresses, or any relevant details. 
  • Code invoices from various vendors to POI and Influencer budget on Concur.
  • Support Sr Manager in tracking invoices and coding them on the Master Budget tracker. 

You are energized by:

  • Assisting Sr Manager with new talent sourcing when needed in various markets around boutique openings or local shows.
  • Suggest new talent to consider and keep a strong pulse on the Influential landscape.
  • Point of contact with talent on events or activations (calendar invitations, dressing etc).
  • Coordinating fittings with talent and sending calendar invites.
  • Support the VIP and Events team during events (event check-in, transportation, photography etc). 

What you will bring to the team:

  • Exude enthusiasm and energy in a fast-paced environment.
  • Strong understanding of the influencer and digital landscape with an emphasis on Fashion, Arts and Culture.
  • Collaborate with a variety of cross-functional teams with a service mindset and building strong partnerships. 
  • Learn and optimize systems and programs; advanced Microsoft Suite expertise particularly in Excel and PowerPoint and knowledge of Fashion GPS. 
  • Thrive in evolving and dynamic environments; track record of self-initiative, ability to multi-task and improve processes. 
  • Strong written, verbal, and public speaking skills; ability to articulate to various audiences in many contexts (Global, corporate, boutiques, external vendors, talent etc). 
  • Public / talent-facing and understanding the CHANEL experience. 

Position Logistics:

  • Minimum one year of experience
  • Partially Remote: Role requires a minimum of three days in-person office presence at the NYC Office.

Compensation:

  • The anticipated base salary range for this position is $36.08/hr through $36.08/hr. Base salary is one component of the total compensation for this position. Other forms of variable pay [may/will] be offered for this position. Other components [may/will] include bonus potential, benefits, and/or perks.
