Job Title: Administrative Assistant IV/Tax Unit

Reports to: Office Manager

Level: Entry

Salary: $55,058

Grade/Step: 14/E

Location: 50 W. Washington, 5th floor

Division: Civil

Bureau: Administrative Services

Working Environment: Hours: Monday – Friday 8:30 a.m. to 4:30 p.m.

Primary Function:

To provide administrative support to the Assistant State’s Attorneys assigned to the Civil Actions Division

Physical Requirements:

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Compile court filing documents for electronic cases.
  • Data entry of all new SPO cases in the database(s)
  • Correct/Review all data for SPO active and closed cases.
  • Assist in preparing the monthly SPO court calls.
  • Scan, copy, and email documents.
  • Pick up and distribute mail.
  • Provide opposing counsel information regarding ASA case assignment.
  • Cover reception desk for breaks, lunch and vacations as needed.
  • Interact regularly with State’s Attorney’s Office employees and personnel of outside agencies.
  • Maintain confidentiality of information and systems
  • Perform additional duties and responsibilities as required.

Qualifications: Required:

  • Excellent organizational skills, ability to multi-task.
  • Candidate must have the ability to communicate clearly both orally and in writing.
  • Proficiency in Microsoft Word applications.

Preferred:

  • Excel, Clerk’s, and Tyler Host computer skills
  • Typing speed of 50 wpm
