Position Summary

This Position works under direct supervision and provides administrative support and strong customer service to the Assistant Director of Field Operations and the Operations department. The Field Operations Specialist deals directly with internal contacts at all levels of the organization. Independent judgement and professionalism are required to plan, prioritize, and organize a diversified workload.

Essential Duties and Responsibilities

  • Perform administrative tasks.
  • Ensure accurate data for jobsite transfers.
  • Partner with Recruiting to deliver qualified and interested employees.
  • Receive and organize all documents for Assistant Director of Field Operations.
  • Answer phone and return phone calls for Assistant Director of Field Operations.
  • Ensure licensing and other requirements are current.
  • Assist with training and education efforts. Internally and externally (CEF, IEC, high schools, and apprenticeship programs, etc.)
  • Assist with coordination of special events.
  • Assist Operations Department as needed.
  • Run reports as needed.
  • Updates leadership on changes in Field needs.

Other Duties and Responsibilities

  • Performs other related duties as assigned to ensure efficient and effective completion of tasks and projects.

Education and Experience

  • Education- High school diploma required; college degree preferred with 4-6 years administrative, compliance and staffing experience.
  • Technologies- Understanding and proficiency with Microsoft Office Products, with heavy emphasis on Excel.
  • Previous experience and understanding of commercial construction industry.
  • Strong mentorship and leadership skills.

Required Skills, Knowledge, and Abilities

  • Advanced level Excel skills are required.
  • Proficiency in SharePoint and navigating/entering data into HRIS system.
  • Excellent problem-solving skills and capacity to identify and resolve problems in a timely manner.
  • Strong written, and verbal communication skills.
  • Ability to maintain a high degree of confidentiality and exercise discretion and appropriate judgment in handling sensitive material.
  • High attention to detail, accuracy, and thoroughness.
  • Mature and self-directed.
  • Demonstrated ability to perform customer service with positive results.
  • Work independently as well as in a collaborative environment.t
  • Customer service oriented.
  • Planning, calendaring, and organizing.
  • Attention to detail and accuracy.
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical procedures and systems such as filing and record keeping.
  • Must be able to pass drug and background check.
  • Ability to be available on time and in person daily in an office environment. This is not remote position.
  • Exceptional independent problem-solving skills.
  • Serves as the point of contact for Field Operations, addressing inquiries and concerns promptly and professionally.
  • Understand Field needs and requirements and work with internal teams to customize solutions to meet those needs.
  • Identify attrition trends, improvement areas, and efficiency of transfers.
  • Assist in insuring job site requirements are met before transfers are made, partnering with Safety and Learning and Development as needed.
  • Support the preparation and submission of reports as required by stakeholders.
  • Collaborate effectively with all Business Units to effectively support their Field Operation’s needs.
  • Manage external vendor relationships, such as third-party staffing.
  • Participate in ongoing professional development and training opportunities.
  • Oversees jobsite productivity and performance of individual employees
  • Responsible for their own transportation

  7. The employee must be able to regularly lift and/or move up to 10 pounds, lift and /or move up to 50 pounds. The employee may be required to climb stairs. Must be able to work 8 hours a day, 40 hours per week, and overtime as required and night or weekend shifts, as needed.
