Job Summary
This position will serve as a link between CenCal Health and the communities it serves by developing and enhancing CenCal Health's participation in community-based activities, events. The Strategic Engagement Coordinator (SEC) assists the Strategic Engagement Manager in coordinating, documenting and reporting on CenCal Health's Community Benefits Program (aka, Sponsorships and grants program). This includes reviewing all sponsorship and grant requests in a timely manner, ensuring a clear auditing trail is kept for all sponsorships and grants, staffing both sponsored and non-sponsored events, and maintaining a repository of promotional items and other CenCal Health or community partner materials.
The Strategic Engagement Coordinator is also responsible for creating timely reports that track our event engagement, sponsorship expenditures, grants, monthly board reports, and writing Board memos. This position reports to the Strategic Initiatives Manager and closely coordinates with the Director of Strategic Engagement and collaborates with department colleagues and executives on projects as needed.
Duties & Responsibilities
  • Provides recommendations on process improvements and assists in program development and refinement.
  • Processes all requests and applications received for sponsorships and grants through CenCal Health's Community Benefits program.
  • Coordinates event participation associated with sponsored and non-sponsored events, including staff attendance; represents CenCal Health at events and travels to/from event locations across our two-county service area, interacting with the public; does set up and take down at events; tracks and prepares staffing reports; travels to both Santa Barbara and San Luis Obispo offices to prepare for events.
  • Manages CenCal Health's events calendar and ensures timely calendar invites are sent to event attendees.
  • Travels across Santa Barbara and San Luis Obispo counties to attend events and meetings during and after regular work hours, and on weekends as needed.
  • Manages all deliverables associated with sponsorship levels, such as preparing sponsorship ads, verifying correct use of CenCal Health's logo, producing and directing "A message from our sponsor" videos, and more.
  • Maintains clear and consistent communication with community partners regarding sponsorships and grants requested.
  • Manages the CenCal Health Engagement Liaison program to secure adequate staff participation and CenCal Health representation at local sponsored and non-sponsored events.
  • Maintains inventory for all event-related equipment and promotional materials, including tablecloths, promo items, printed collateral materials, canopies etc.; travels to Santa Barbara and San Luis Obispo offices to maintain inventory control.
  • Leads management of department financial expenses through an enterprise software system (NetSuite) for sponsored events, grants, and all other department needs, including creating purchase orders (POs), creating bills/invoices, securing estimates, invoices, and ensuring approvals are secured in a timely manner for these transactions.
  • Works closely with the Communications and Marketing department to maintain inventory of collateral and promotional items.
  • Maintains promotional item repository for events.
  • Manages grant requests and monitors grant specific requirements, like report submissions, check verification, and preparing memos about the grants for CenCal Health's Board of Directors.
  • Contributes to the development of monthly reports addressed to our Board of Directors, including proofreading, reporting on events attended, sponsorships and donations, and other reports as needed.
  • Processes "thank you" letters from organizations that received funds.
  • Provides weekly activity and other administrative requirements.
  • Performs some administrative duties i.e., expense reports, purchase orders, and invoices.
  • Attends all required internal plan and department meetings and training programs.
  • Measures, tracks, and analyzes community outreach effort results and contributes to community-based surveys, as requested.
  • Quarterly tracks sponsored/executive events and donations to provide information for departmental meetings and provide input to the Communications Department budget.
  • Works with social media lead to develop social media posts. Creates original content, secures photos from events, supports scheduling, and posting content, creating artwork, and monitoring responses for various platforms, such as Facebook, Instagram, and LinkedIn.
  • Other duties as assigned.
Qualifications
Knowledge/Skills/Abilities
  • Knowledge and experience in working with the low-income population, including families, children, seniors and persons with disabilities.
  • General knowledge of government structures, agencies and policies that impact CenCal Health's business and progress

Education & Experience
  • Associates degree required, Bachelor's degree desired
  • Two (2) years of outreach experience serving low-income populations and documented experience with program organization, documentation, performance tracking and coordination may be substituted for a formal education.
  • Experience presenting health and wellness topics to community service organizations, providers, and low-income audiences.
  • Experience with community outreach and event coordination.
Preferred:
  • Bilingual strongly preferred.
  • Understanding of health care markets, including Medi-Cal and Medicare.
  • Social media experience.
  • Project management
