Job Summary

Perform a variety of diverse and complex office management/administrative support functions to facilitate work flow and streamline administrative processes by employing skill, flexibility, critical thinking and decision-making.
Responsibilities

  • Perform administrative support and office management functions including the development, maintenance and security of confidential and operational files, operation of various pieces of modern office equipment and software applications including retrieving data, conducting research and, using the college information systems, and the efficient management of incoming and outgoing documents and ensuring adequate stocks of required office supplies. Maintain and update office operating procedures. Oversee administrative office including office machines and related supplies and records, service calls, office cleanliness and organization. May provide work direction.
  • Schedule and coordinate supervisor's meetings, appointments and conferences. Schedule meeting rooms, arrange for equipment or technical assistance and logistical support, make arrangements for catering which may include ordering or pickup/setup/cleanup, obtain and setup linens and event decorations, distribute meeting information and agendas, prepare necessary materials, take minutes and generate resulting correspondence. Responsible for campus events scheduling and/or academic scheduling.
  • Ensure administrative support is provided to District Deans. Confer with supervisor to discuss work processes, action to be taken, resolve issues, and receive instruction, explanations, or guidance.
  • Answer and direct incoming phone calls. Assist with requests or needs using appropriate discretion and judgment or assist the individual in determining the correct individuals or offices for help. Assist students with problems, issues, or questions.
  • Coordinate all official travel and support arrangements for supervisor or other individuals as requested by supervisor. Coordinate vehicle reservations and maintain vehicle documentation. Monitor and track assigned budgets, generate reports, and execute all budget transfers and requisitions as required.
  • Schedule and coordinate campus events including logistical support. Facilitate press releases, media coverage, obtain applicable permits, coordinate event photography, staffing, volunteers, or donations with other college departments as needed. Maintain liaison with key individuals involved throughout the planning, execution and conclusion of the event.
  • Act as liaison between staff, faculty and/or adjunct faculty and other departments such as Payroll, Human Resources, Finance, Registrar, Campus Police, etc. Process key requests.
Marginal Functions:
  • The position may perform other duties commensurate with the functions and level of the position to include participating in committee assignments and the recruitment and retention of students.
Qualifications

EDUCATION/EXPERIENCE: Associate's Degree (60 credits) and two (2) years related experience - or - four (4) years related experience in lieu of education
Knowledge, Skills, & Abilities

  • Knowledge of specific processes, policies and procedures concerning office environments and educational institutions.
  • Knowledge of data processing methods, information storage and retrieval techniques.
  • Knowledge of basic record keeping practices.
  • Knowledge of office management and workflow procedures.
  • Knowledge of the College's policies regarding special events and functions
  • Skill in computer applications, word processing, use of e-mail and the internet, office machines, copier systems.
  • Skill in office management and workflow administration.
  • Skill in financial and statistical data gathering, compilation and presentation.
  • Skill in verbal and written communications.
  • Skill in problem solving and decision making.
PHYSICAL REQUIREMENTS:
Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties as a result of long periods of standing, sitting, and/or repetitive motion of fingers and arms.

Job is performed in general office or comparable working area with occasional distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
