Central Carolina Community College is Hiring a Graduation Coordinator and Records Assessment Specialist Near Sanford, NC

The Graduation Coordinator and Records Assessment Specialist works in the Registrar's office to provide customer service in the areas of graduation planning and data records management.

Overtime may be needed during peak application periods, start and close of semesters may require evening or weekend duty to complete job expectations.

Please include unofficial copies of undergraduate and graduate transcripts. Will be required to submit official copies of transcripts before start date.

This position may have occasional travel between campuses and for training. Occasional after hours may be required.

Essential Duties

  • Evaluate needs for Graduation ceremony based on location and size of event.
  • Solicit vendors and compare quotes.
  • Schedule and organize deliveries.
  • Initiate purchase requisitions (floral arrangements, honor cords).
  • Schedule and book audio/video equipment rentals, musicians, color guard.
  • Ensure payment to vendors via check requests.
  • Maintain electronic lists for students applying for graduation and their statuses.
  • Timely requests for in-house printing of graduation materials and credentials.
  • Communicate status to students, advisors, supervisor and office.
  • Processes admissions applications for incoming new students and former students.
  • Process admissions correspondence.
  • Accept college and high school/GED transcripts.
  • Assess transcripts for placement.
  • Process forms that come through the Registrar's office:
  • Program/Pathway Changes
  • Student Data Correction Changes
  • Tuition waiver forms
  • Enrollment verification requests
  • Communicate with our students via face-to-face interactions, e-mail, phone calls, virtual video conferencing.
  • Process out-going transcripts on-demand.

Other duties specific to individual Records Office staff may include:

  • Assess completion of census rosters as submitted by faculty.
  • Communicate with instructors regarding missing information and coach as needed.
  • Communicate with Instructors regarding conflicting grade documentation.
  • Reprint rosters as needed by faculty.
  • Process degree verification requests from National Student Clearinghouse.
  • Complete purchase requests for forms, supplies and/or equipment.
  • Process e-transcript requests using electronic service or USPS for delivery.
  • Communicate with alumni regarding transcript requests.
  • Intake residency reclassification documents and process status letters.
  • Download CFNC applications and transcripts.

Minimum Requirements

Required educational background:

  • The successful candidate will have a minimum of an Associate degree with a Bachelor’s degree preferred. One year of customer service experience is required. A combination of education and work experience will be considered.

Required kind and number years of work experience:

  • One year of customer service experience is required. Two years student records experience is needed.

Required knowledge, skills and abilities:

  • Microsoft Office; accurate entry of data

Preferred Requirements

  • Bachelor’s degree; Two years of customer service; Expert level in MS Office programs; One or more years working with a database; One or more years working with the NCCCS; Colleague Datatel experience; Ability to speak Spanish
