What are the responsibilities and job description for the Front Desk Receptionist - Spa position at Central Dermatology Center PA?
Primary responsibilities of this position include, but are not limited to:
- TelephoneAnswer telephone calls promptly. Listen, triage and address patient concerns direct all calls to the appropriate department or personnel.
- Keep voice at a positive but low-volume level in an effort to keep confidential patient information private.Provide great customer service while maintaining a calm disposition.
- Check- InGreet and check-in all patients in a pleasant and professional manner.
- Enter demographic information on all new patients into EMR system, and scan in any forms to patient charts.Secure all necessary patient signatures for Demographics, HIPAA, Financial, No Show/Cancellation and Late Policy, along with any consent forms applicable to Administrative Policies.Perform all other front desk duties, as required.
- Check-OutCheck-out all patients in a pleasant and professional manner
- Schedule return appointments for follow-up or enter recalls as necessary. Collect fees for services including outstanding balances, treatment fees, product purchases, and packages. Enter cosmetic charges and payment in Nextech for products and services accurately and promptly. Ensure patient satisfaction by establishing a positive connection with each interaction.
- Miscellaneous Duties: Clean and organize the front office space.
- Essential to remain at the front desk unless a job duty requires you to be elsewhere, or if on break.Assist in general office duties, as needed, when prompted by your supervisor.Daily balance batches for services provided and monies collected during downtimeRespond accordingly to all communications (comm notes, intramails, emails, and voicemails) in a timely manner.Reschedule patients when schedules changes arise or providers are out.Provide patients with information regarding services and products, and provide 10 minute color-match services for makeup when needed.Assist with miscellaneous duties when prompted by your supervisor for special events such as: Botox Day, Open House, Book Drives, Community Outreach, etc.Process and archive expired RX logs accurately twice a year, following proper practice protocols.
- Online OrderCheck online order statuses daily and process via NexTech in an accurate and timely manner

- Physical Capabilities:Ability to lift a minimum of 50 pounds dead weight depending on the individual’s work assignments daily.
- Ability to frequently bend, stoop, kneel, and reach above shoulders depending on the individual’s work assignments daily. Ability to sit and/or stand for extended periods of time, a minimum of eight hours a day, depending on the individual’s work assignments daily. Ability to see, hear, speak, interact, read, write, and type sufficiently to perform the essential functions of the position. Must be independently mobile on all surfaces and situations depending on the individual’s works assignments daily and be able to move safely about the work area. Must be able to respond to emergency situations as needed, including lifting ability needed for patient safety. Must have bilateral use of hands for repetitive fine manipulation. Must have the physical stamina to work at least eight hours per day.
- Environmental/working Conditions:Work is performed in a medical office environment. Work involves frequent contact with staff and the public. Work may be stressful at times. Contact may involve dealing with angry or upset people.
- Exposure to communicable diseases, blood and body fluids, toxic substances, medicinal preparations, and other conditions common to a physician’s office environment.
