Primary Purpose
The Temporary Administrative Support position is responsible for supporting the program’s Administrative Assistant in several items that have seasonal peaks in the summer. These include managing correspondence with prospective students, assembling and sending informational packets to prospects, and assisting with the onboarding and tracking of incoming fall students. Additionally, this position will assist with either a mock FAA audit of the program, or a live FAA audit of the program that frequently occurs during the summer. Other major tasks in support of the program include entry of in-seat training time provided by our major contractor at the Bend Airport, along with general administrative duties.

Essenatial Duties and Responsibilities
Administrative Support:
  • Assistance with the audit process – either actual or the mock audit we run yearly.
  • Assistance maintaining Outlook correspondence file with prospective students.
  • Sending Aviation informational packets to new students.
  • Entering student instruction time in preparation for weekly reconciliation of lab time and payment to main contractor.
  • Archiving of student records and destruction or recycling of old student records.
  • Uploading test banks for certification classes.
  • Assisting with the various onboarding and tracking of incoming Fall students.
  • Building and maintaining an academic and lab deadline calendar for the department each.
  • Miscellaneous project work.
  • Monthly flight simulator cleaning.
  • Other tasks and duties as deemed necessary.

Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the duties and responsibilities of the job, with or without reasonable accommodation, using some other combination of skills and abilities. The individual is expected to follow College work rules and policies.
  • Knowledge and ability to understand and follow College policies and procedures to ensure proper processing of aviation program.
  • Ability to be detailed oriented and able to work independently.
  • Possess the interpersonal and customer service skills necessary to effectively and positively work with prospective and current students, vendors, and various staff internal and external to the college.
  • Ability to work in a complex work environment with frequent interruptions and time constraints.
  • Ability to be a positive team member to solve problems and achieve goals.
  • Ability to set priorities and schedule work needing deadline completions; schedule office coverage for meetings away from the main office.
  • Ability to use standard office equipment, use of keyboard and multi-line telephone including voice mail management for the program, and ability to monitor.
  • Ability to communicate effectively, both orally and in writing, using the English language with or without the use of an interpreter.
  • Ability to work cooperatively and positively with, and contribute to, a diverse workplace through ideas or experience.
Ergonomic Requirements
Regular office hours are established between 8 am – 5 pm during the workweek. A flexible work schedule, including nights and weekends, may be necessary due to the nature of the responsibilities.
Incumbent must be able to function effectively indoors in an office environment engaged in work of primarily a sedentary nature. Requires the ability to work at a workstation for extended periods. Requires to write, read written materials and computer screens, and ability to use telephonic conversations. Occasional lifting up to 25lbs. All individuals are required to perform essential functions with or without reasonable accommodation.
Minimum Requirements
  • Associate’s Degree.
  • One year of general office work.
