Position Overview

We are seeking a skilled and detail-oriented Accounts Payable Specialist / Licensing Coordinator. This position requires exceptional interpersonal abilities, organization, and attention to detail. The primary objectives of this position include effective and accurate management of the entire AP process, obtaining and tracking all new licenses (State, City, County, etc.), and renewals of such, and be responsible for verifying tax implications and obtaining or renewing any exemption certificates.

This is a part-time (20-28 hrs. per week) in-office position. We are located in Tigard, OR.

Essential Job Functions

  • Review, input, and code all invoices and statements received in Sage Intacct
  • Processes/review/reconcile credit card transactions
  • Input new vendors into Sage Intacct and in Procore
  • Monitor city and state licenses and Contractors License status and validity
  • Review expiring licenses and locate updated information from online resources to renew license or terminate if required.
  • Work closely with the Senior Project Accountant on issues identified or unique scenarios as it relates to AP and invoice coding
  • Work on miscellaneous projects as assigned by CFO, Controller, or Sr. Project Accountant.
  • Verify vendor compliance status via Procore prior to check runs
  • Weekly check processing and mailing out of checks
  • Performs other related duties as required and assigned
  • Monthly reconciliations between AP and the GL
  • Assist with other month end activities as needed
  • Assistance with recording and paying bills for limited transactions within QuickBooks for two related party entities
  • Able to carry out the essential functions of this job (with or without reasonable accommodation) without posing specific, current risk of substantial harm to health and safety of self and others

QUALIFICATIONS

  • At least 3 years of Bookkeeping/AP/data entry experience is required
  • 1-2 years’ experience and knowledge of administrative procedures
  • Knowledge of customer service principles and practices – both internal and external
  • Experience with insurance and/or compliance is preferred, but not required
  • At least 1 years of construction industry experience
  • Demonstrates effective self-direction, time management, and critical thinking skills
  • Demonstrates excellent interpersonal, listening, and conflict management skills
  • Possesses adaptability, resourcefulness, ability to navigate varying requests, and stress tolerance
  • Has excellent communication skills, both oral and written
  • Ability to analyze problems and implement effective solutions
  • Superior attention to detail, data entry accuracy, and editing skills
  • Demonstrates superior time management skills, including sensitivity to urgent matters
  • Demonstrates honesty and integrity at all times
  • Ability to follow appropriate safety guidelines
  • Demonstrates ability to be flexible, prioritize tasks and responsibilities and complete duties and projects within allotted time
  • Able to respond to change productively and to handle additional tasks and projects as assigned

EDUCATION

  • High School Diploma, General Education Degree, or equivalent
  • Demonstrated keyboarding skills of at least 40wpm

LANGUAGE SKILLS

  • Must be able to read and interpret documents, such as letters, email communication, contracts, instructions, and procedure manuals in oral, written or diagram form (in English)
  • Must be able to write detailed summary reports

COMPUTER SKILLS

  • To perform this job successfully, an individual should have knowledge of Microsoft Office programs, including but not limited to Word, Excel and Outlook.
  • Experience with Procore, Sage Intacct, Quickbooks is preferred
