The Benefits & Leave Specialist is responsible for managing the comprehensive administration of employee benefit programs and leave policies within the organization. This role ensures that benefits and leave programs are effectively communicated, consistently applied, and compliant with all relevant regulations. The specialist provides vital support to employees, coordinates with benefit providers, and collaborates with HR and legal leadership to maintain and enhance these programs. The Benefits & Leave Specialist plays a crucial role in ensuring that employees are well-informed and supported regarding their benefits and leave options. This position requires strong communication skills, a thorough understanding of relevant regulations, and the ability to manage multiple tasks efficiently.

Responsibilities:
  • Oversee the administration of all employee benefit programs, including health insurance, 401k retirement plans, wellness programs, and other related benefits.
  • Assist employees with benefit enrollment, changes, and inquiries, and provide clear guidance and support regarding their options.
  • Coordinate with benefit providers to resolve issues and ensure accurate delivery of services.
  • Manage and coordinate all aspects of employee leave, including vacation, sick leave, FMLA, short-term disability, long-term disability, parental leave, and other leave programs.
  • Ensure leave policies are applied consistently and in compliance with federal, state, and local regulations.
  • Stay updated on relevant labor laws and regulations to ensure organizational compliance, including ERISA, COBRA, ACA, FMLA, and ADA.
  • Prepare and submit required reports to regulatory bodies and conduct audits to ensure adherence to policies.
  • Maintain accurate records of employee leave balances and usage and ensure integrity and confidentiality in HRIS and other systems.
  • Generate reports and analyze data on benefits utilization, leave trends, and other relevant metrics to support decision-making.
  • Serve as the primary point of contact for employee inquiries regarding benefits and leave policies.
  • Develop and distribute clear communication materials about benefits programs and leave-related topics.
  • Support employees with claims processing and troubleshooting issues with benefit providers and vendors.
  • Collaborate with HR and legal leadership to develop and update benefits and leave policies.
  • Evaluate the effectiveness of current programs and suggest improvements.
  • Identify opportunities to enhance employee satisfaction, well-being, and operational efficiency.
  • Manage the workplace accommodation program to ensure employees receive necessary adjustments and support.
  • Assess accommodation requests and coordinate with relevant departments to implement appropriate solutions.
  • Facilitate open enrollment periods, conduct informational sessions, and provide training for employees on benefit-related topics.
  • Respond to benefit tickets and benefit related phone calls in a timely manner.
  • Perform other duties as assigned to support the overall functioning of the HR Operations department.
Qualifications:
  • Bachelors degree or equivalent, preferably in Human Resources, Business Administration, or related field
  • 3-5 years of experience in human resources, specifically in benefits administration and leave management.
  • In-depth understanding of various employee benefits programs and related regulations.
  • Expertise in managing different types of employee leave and ensuring compliance with legal requirements.
  • Ability to clearly explain complex benefits information to employees and to provide stellar customer service while maintaining complete discreetness when dealing with highly sensitive or privileged information.
  • Precise in maintaining records and managing data related to benefits and leave.
  • Capable of addressing and resolving employee issues related to benefits and leave.
  • Efficient in completing tasks in a timely manner and managing multiple relationships.
  • Excellent organizational skills, with an ability to prioritize important projects.
  • Strong phone, email and in-person communication skills.
  • Ability to use logic and reasoning to identify strengths and weaknesses of alternative solutions and provide conclusions or approaches to the job.
  • Strong interpersonal skills and a customer service-oriented mindset.
  • Proficient in Microsoft Office Suite (Work, Excel, PowerPoint) and HR information systems.
  • Ability to handle confidential information with discretion.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Experience managing/administering 401k plans is a plus.
  • Certification in HR or Benefits Administration (e.g., CEBS, SHRM-CP/SCP, PHR/SPHER) is a plus.
