Job Title: Receptionist/Administrative Assistant
Location: Pittsburgh, PA (Onsite 5 days per week)
Duration & Type: Initial 6-Month Contract with likely extensions

SummaryThe Administrative Assistant/Executive Assistant is responsible for providing high-level administrative support by conducting research, handling information requests, and performing clerical functions. This role acts as an information and communication manager for an office, ensuring efficient and confidential office operations.
What You Will Be Accountable For
  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents.
  • File and retrieve corporate documents, records, and reports.
  • Open, sort, and distribute incoming correspondence, including faxes and emails.
  • Prepare responses to correspondence containing routine inquiries.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Cover the reception desk when needed.
  • Provide administrative support to ensure efficient office operations.
  • Process mail for three different business units.
  • Schedule visitors across three different locations.
What Qualifications You Need
  • High school diploma or GED required.
  • 2-4 years of relevant experience.
  • Excellent verbal and written communication skills.
  • Ability to multitask effectively and maintain a high level of organization.
  • Strong interpersonal and customer service skills.
  • Ability to work independently and manage time efficiently.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
