Description

SUMMARY:

The Junior Human Resources Generalist will perform a variety of administrative tasks and services to support effective and efficient operations of the organizations human resource department.

ESSENTIAL DUTIES AND RESPONSIBILITIES: May include the following. Other duties may be assigned.

EE & Manager General Inquiries

  • Provide clerical and administrative support to the senior HR staff or management.
  • Assist in Human Resources programs by providing services including talent acquisition, staffing, employment processing, compensation, health and welfare benefits, training and development, records management, safety and health, employee relations, and compliance with AA/EEO and labor relations.
  • Answer frequently asked questions from applicants and employees regarding standard policies, benefits, hiring processes, etc., and refer more complex questions to senior HR staff or management.
  • Provide guidance to employees on human resources issues and to ensure compliance with all state and federal employment laws and programs

Full Cycle Recruiting

  • Support recruiting efforts by assisting in developing job postings, overseeing postings on job boards, organizing job fairs
  • Assist in maintaining work staff by recruiting, interviewing, onboarding, scheduling, and conducting orientations.

Payroll Processing

  • Assist in the processing of bi-weekly payroll including processing, resolving errors, answering employee questions, and distributing paychecks.
  • Provide reports and ensure compliance with authorization and supporting documentation.

Reporting

  • Ensure compliance with all state and federal employment laws and programs by monitoring and implementing applicable human resource requirements and maintaining records.
  • Prepare and distribute various monthly reports to relevant departments and personnel according to scheduled deadlines.

Meetings & Trainings

  • Assist in planning and executing HR projects and special events such as benefits enrollment, organization-wide meetings, trainings, surveys, reviews, employee recognition events, holiday parties, and retirement celebrations.
  • Assist in preparing materials for HR trainings, including printing fact sheets, supporting documentation, pamphlets, and other necessary items, to support senior HR staff or management.

Filing, Records Maintenance & Retention

  • Maintains the integrity and confidentiality of human resource files and records; Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
  • Maintains historical human resource records using a filing and retrieval system, keeping past and current records.

Health & Safety & COVID

  • Inform employees of benefits programs and assist in maintaining employee benefits programs.
  • Administer safety meetings to ensure compliance with health and safety regulations.
  • Manage COVID tracking by updating records, communicating with employees and managers, reporting cases, and maintaining bulletin board and notice log updates.

Workers Compensation & LOA

  • Administer Workers’ Compensation programs and processes.
  • Assist in administering Leave of Absence programs and processes.

Employee Relations

  • Assist in employee relations investigations by providing relevant personnel files, organizing necessary documentation, and ensuring confidentiality.
  • Assist in the preparation of terminations by compiling employee files, necessary documents and coordinating with senior HR staff or management.
  • Create and organize Performance Discussion Forms for departments and managers, under the supervision of senior HR staff or management.

Contribute to team efforts by accomplishing related tasks as needed.

Qualifications


QUALIFICATIONS: to perform this job successfully, an individual must be able to perform each essential duty satisfactory. The requirements listed below are representative of the knowledge, sill, and/or ability required.

  • 1-2 years proven working experience as a human resources generalist/specialist or relevant human resources/administrative position.
  • Associate’s degree in business administration or HR preferred.
  • Working knowledge of payroll and timekeeping software, databases, and tools such as an HRIS or HRMS system
  • Proficiency in English
  • Strong Microsoft suite skills (must have excel, word and outlook experience)
  • Awareness of industry’s latest technology trends and applications
  • Strong employee-facing and communication skills
  • Excellent organizational skills
  • Advanced troubleshooting and multi-tasking skills

LANGUAGE SKILLS:

  • Ability to write routines reports and correspondence.
  • Ability to speak effectively before groups of employees of organization.

MATHEMATICAL SKILLS:

  • Basic Mathematical Skills
  • Ability to handle complex payroll calculations and scenarios

REASONING ABILITY:

  • Ability to apply commonsense understanding to carry out instructions furnished in written and oral form.
