CharTec, LLC is Hiring an Administrative Assistant Near Bakersfield, CA

Job DescriptionWe are seeking an enthusiastic Administrative Assistant. If you have are that candidate who is proactive, self-starter and has an AMAZING personality we want, you to join our TEAM!!!
Corporate Duties
  • Lead Corporate Receptionist for all Entities
  • Transfer and route all calls and guests appropriately with the highest respect.
  • Create internal facility and corporate admin processes/tickets for ARRC/service and toner calls for ECOsource
  • Work closely with the warehouse for toner orders that come in
  • Be fluent in Microsoft operating platforms (Word, excel, computer software)
  • Work closely with Marketing, Corporate Sales, Corporate and Accounting Assistants
  • Work with the Facilities Manager for repairs and maintenance with third-party maintenance staff (janitor, gardener, plumber, etc.)
Facility Duties
  • Manage facilities for tours and guest/client visits with Marketing, Sales, and CharTec assistants.
  • Contact maintenance staff to ensure the cleanliness and supplies of the facility.
  • Preparation of room and food/menus in advance
  • Prepare a supply list for daily needs (Conference Room, break room, etc.)
  • Maintain/Stock/Prepare Training and Conference rooms for ARRC
  • Order food as necessary/requested
  • Greet/Check-in/Announce training room attendees for staff days and all meetings
  • Manage the rental of the training room/conference rooms and ensure the client is scheduled and billed if necessary or notify sales for a quote. Requesting and receiving proper documentation (Training Room Request Doc) from renters
  • Follow up on issues with admin staff, technicians, and facility/maintenance staff.
  • Prepare packages and/or Gift Baskets for clients and arrange delivery.
Weekly
  • Prepare and provide updates on POAs from Admin, Staff, Operations, and meetings.
Monthly
  • Assist administrative and accounting staff as requested for monthly billing cycles. (filing, emailing, etc.)
  • Assists in planning and attending monthly staff meetings
  • Theme, Décor, and Activity
  • Teams and Wow’s
  • Safety Topic
  • Ensure the presentation is prepared.
  • Prepare Agenda and minutes.
Quarterly
  • Assist in planning and requests for CharTec Academy.
Other As Needed
  • Assist, attend, and prepare for events and expos
  • Misc projects for facility, administration, and operations
  • Arrange or pick up orders and supplies as requested
You will perform clerical and administrative functions in order to drive company success.
At least 1 yr. experience in clerical.
