Job Description:

We are seeking a detail-oriented and dedicated Payroll Administrator to join our team. The ideal candidate will have a strong background in payroll processing, invoicing, and billing. This role also involves managing the HR Representative responsible for pre-employment and onboarding processes, ensuring compliance with client contracts, and maintaining awareness of contract terms and conditions.

Key Responsibilities:

  • Payroll Processing: Accurately process weekly, bi-weekly, and semi-monthly payroll for all employees and contractors (250-500), ensuring compliance with company policies and regulatory requirements.
  • Invoice and Billing Management: Prepare and issue weekly and monthly invoices for payroll hours processed, direct hire fees, onboarding fees, and consulting fees.
  • Payment Follow-Up: Monitor and follow up on outstanding invoices to ensure timely payment.
  • Issue Resolution: Address and resolve discrepancies or issues related to invoices and payments.
  • Record Keeping: Maintain accurate records of payroll, invoices, and payments.
  • Reporting: Generate and distribute payroll reports as needed.
  • HR Management: Oversee and manage the HR Representative handling pre-employment and onboarding processes.
  • Compliance Oversight: Ensure compliance with client contracts regarding recruitment services, including:
  • Pre-employment and onboarding processes.
  • Bill rates and fees.
  • Timing and procedure of invoice submission and payment receipt.
  • Staying updated on and aware of contract terms and conditions.
  • Communication: Liaise with clients and internal teams to ensure smooth and efficient payroll, billing, and HR operations.
  • Regulatory Compliance: Stay updated on relevant laws and regulations to ensure compliance in all payroll, billing, and HR activities.

Qualifications:

  • Proven experience as a Payroll Administrator or in a similar role.
  • Strong understanding of payroll processes, invoicing, and billing.
  • Experience in HR management, particularly in pre-employment and onboarding processes.
  • Proficiency in payroll software and Microsoft Office Suite (particularly Excel).
  • Excellent attention to detail and organizational skills.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Knowledge of relevant laws and regulations related to payroll, billing, and HR compliance.
  • Ability to stay updated on and aware of contract terms and conditions.
