WHO: You!

WHAT: Our Legal Assistant (Remote, Full-Time)

WHERE:  Florida residency is required, but this role is designed to be virtual/remote. We prefer you live in South Florida to occasionally be available if needed, but that is not necessary.

WHEN : ASAP! You will start on a trial run ASAP for 1-3 weeks or so to evaluate if we are a good fit.

WHY : We need a legal assistant who  thrives with procedures and checklists.  Your role involves everything from opening new cases in our case management system, entering new client data in that same system, managing appointments, cataloging client documents and discovery, preparing basic filings, and other general office duties. You will work closely with our team to ensure our clients receive top-notch service. We are outgoing and have a sense of humor (love a great meme), but we’re also extremely detailed and have a high standard of excellence.

HOW : To ensure you are paying attention to detail, please submit your application with a cover letter and include the number 1113 in your submission.

You should apply if...

  • You are detail-oriented, friendly, trustworthy, able to keep a secret (client confidentiality and proprietary data), not easily overwhelmed, a quick typer/texter, and thrive with checklists and procedures (did we mention organized?)
  • You have experience managing a workload and prioritizing time-sensitive tasks
  • You are tech-savvy and know these programs well: Google Suite, Zoom, Slack, task management, iPhone, and Apple/MAC

  • You would rather message or jump on a video conference than meet your team in person
  • You are happy to spend your days looking at volumes of documents, calendaring (rescheduling and coordinating meetings), and documenting processes
  • Checklists, procedures, and policies help you thrive, not miserable
  • You have access to stable, reliable Wi-Fi during working hours
  • You have a team attitude. (No task is “beneath” you, just as no task is beneath us.)
  • You are not sensitive to cursing or appropriate GIF usage because you have a sense of humor. (We deal with some heavy topics and use humor as a coping mechanism. Sorry, not sorry.)

You should not apply if...

  • You do not have stable internet access
  • You cannot take phone calls during business hours
  • You require or expect constant access to the owners
  • You believe you are "better" than other support staff
  • You read into the tone of texts that are sent quickly or on the fly. (We are often busy and on the run; sometimes we are unable to provide more than one-word responses. We’re not being rude--promise!)
  • You do not enjoy following directions
  • You do not enjoy sitting in front of your computer for 8 hours to the calendar, log discovery and other documents, prepare charts, and review financial statements 
  • You don't like or have experience with MAC/Apple or Google Suite
  • You want to work part-time
  • You want a "job," not a career
  • You despise checklists and procedures
  • You demand hard copies of documents or in-person meetings
  • You don't appreciate a good meme
  • You don't like working in a team
  • You don't like dogs (the animal, not hot dogs)
  • You require or expect constant access to the owners
  • You read into the tone of messages that are sent quickly or on the fly. (We are often busy and on the run; sometimes we are unable to provide more than one-word responses. We’re not being rude--promise!)
Compensation:

$18 - $25 hourly

Responsibilities:
  • Manage client documents and discovery documents
  • Manage correspondence and administrative tasks, such as calls
  • Assist our team, as needed
  • Execute tasks as assigned 
Qualifications:
  • Experience handling confidential information and adhering to strict deadlines
  • Impeccable time management skills and interpersonal skills
  • Some college is preferred; high school diploma or equivalent is required
  • Some knowledge of legal software, case management, and docketing programs
  • Candidates should have strong organizational skills and communication skills
  • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment
  • Must be able to type at least 50 WPM
