SUMMARY

Provides administrative support in a variety of functions to a management team responsible for a large portfolio of Department of State (DOS) contracts. Assists with employee and project management, including recruiting and onboarding, timekeeping management, and project reports and deliverables.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Under minimal supervision, performs the following:

  • Assist with timesheet and invoicing management, including obtaining government signatures on all timesheets for invoicing, ensuring overtime requests are approved, and consolidating invoice packages.
  • Assist employees with timesheet setup, issues, corrections, etc.
  • Assist employees with preparing travel requests, to include international travel, and expense reports.
  • Perform all administrative tasks for employee onboarding. This includes, but is not limited to, ordering applicable equipment, security and access requests, DOS badging appointments, and first-day escorts.
  • Create, maintains, and updates staffing spreadsheets to include employee contact information and email groups to allow PMs and leadership to push important communications.
  • Develop and reviews work product templates to meet customer and/or PM requests.
  • Maintain and updates trackers, recurring reports, and databases to manage employees and projects.
  • Track and ensures completion of employee training, security, and compliance requirements.
  • Create job descriptions and requisitions to support hiring and onboarding.
  • Coordinate employees meet and greets with government client.
  • Manages multiple email boxes for the portfolio and responds to or routes inquiries to relevant stakeholders.
  • Create spreadsheets and reports as required.
  • Assist with employee off-boarding, including equipment and badge retrieval and escorting.
  • Performs general administrative tasks.
  • Performs other job-related duties as assigned.

EDUCATION AND/OR EXPERIENCE

  • Minimum of a high school diploma or equivalent with 4 years of relevant experience; OR an associate degree with 2 years of relevant experience; OR a bachelor’s degree with 1 year of relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of federal government contracting helpful.
  • Must possess excellent follow through skills.
  • Exceptional written and oral communication skills.
  • Must be able to manage multiple projects and assignments efficiently, work in a fast-paced environment, and have a strong attention for detail.
  • Must be motivated and able to work independently with minimal direction and supervision.
  • Team-oriented professional with mission-driven approach.
  • Strong interpersonal, organizational, and problem-solving skills.
  • Proficient with Microsoft Office Suite (Excel, PowerPoint, Outlook, etc.) and SharePoint.
  • Must be able to obtain and maintain a Secret security clearance. Active Secret or Top-Secret clearance preferred but not required.
  • Must be able to pass a background check and drug screening.

WORK ENVIRONMENT

This position is primarily performed in a climate-controlled office setting following company telework policy.

Pursuant to U.S. Presidential Executive Order 14042, Cherokee Federal is now requiring that all employees be fully vaccinated for COVID-19 by December 8th and going forward. Prospective employees will fall under this requirement and proof of vaccination will be required for on-boarding, should you be selected. Limited exemptions for religious or medical reasons will be considered.

TEMPORARY NOTE : On Tuesday, Dec. 7, a federal judge issued an injunction blocking President Joe Biden’s COVID-19 vaccine mandate for federal contractors (EO 14042). Cherokee Federal is monitoring the court case and awaiting a final ruling. As a result of the injunction, Cherokee Federal is halting the enforcement of the mandate, however, if the injunction is lifted and the mandate remains, Cherokee Federal must reenact its vaccine requirement.
