The Admin/Coordinator, Capital Markets provides administrative and operational support to the Capital Markets team, ensuring smooth and efficient operations. The ideal candidate will be responsible for various administrative tasks and must demonstrate excellent organizational and communication skills.

Essential Duties and Responsibilities:

  • Coordinate and Plan Asset Tours: Organize Capital Markets asset tours to ensure seamless execution.
  • Investor Visits: Schedule conference rooms, set up AV systems, order/schedule lunches, and handle the setup and breakdown of meeting materials for investor visits.
  • Presentation Materials: Produce charts and other presentation materials. Review, proofread, and edit materials to ensure accuracy and adherence to company standards.
  • Ad Hoc Projects: Manage special assignments by establishing objectives, determining priorities, managing time, and ensuring confidentiality.
  • Legal Files Management: Organize and maintain legal files, ensuring timely collection and recording of Limited Partner documents. Secure and maintain confidential investment files.
  • Microsoft Office Suite: Extensively use Microsoft Office Suite for various tasks.
  • Meeting Minutes: Record and maintain meeting minutes for team and departmental meetings.
  • Document Management: Update and organize shared documents in Salesforce and SharePoint.
  • Team Collaboration: Build rapport with team members and departments to understand their roles and services.
  • Expense Reports: Manage expense reports for the department's Managing Director.
  • Office Setup Liaison: Assist with new office space setup, user access, parking, and vendor contracts for the DC office.
  • Front Office Reception: Serve as the main office contact for visitors in the DC location.
  • Office Supplies: Maintain inventory of office supplies and replenish stock as needed.
  • Miscellaneous Duties: Perform other duties as assigned.
