Position Summary:This is a full-time position as Compliance & Administrative Coordinator for Compliance & Quality, HR, Fiscal, and office management.
The role with Compliance & Quality Department supports the Managing Director of Compliance & Quality in maintaining the functioning of the departments. The Compliance & Quality Programs function as an independent and objective body that reviews and evaluates compliance and quality issues and/or concerns within the organization. The Compliance & Administrative Coordinator assists in ensuring that the Board of Directors, CEO, CFO, CFF leadership and employees are in compliance with the rules and regulations of regulatory agencies, that company policies and procedures are being followed, and that behavior in the organization meets the company’s mission, goals and standards of conduct.
The role with HR includes supporting the department with administrative functions. The role with Fiscal includes performing Fiscal department functions related to coding of invoices and credit cards. The role with office coordination includes gathering information for the agency’s office needs and relaying that to the appropriate departments and leaders.
Required Qualifications:
  • Bachelor’s degree in human services or a related field
  • 1 or more years of experience in healthcare organization or human services field
Preferred Qualifications:
  • Demonstrated leadership, familiarity with operational, financial, compliance, quality assurance, and human resource procedures and regulations
The Compliance & Administrative Coordinator Responsibilities:
  • Compliance Committee: Participate as a member of the Compliance Committee and record meeting minutes for each meeting
  • Policies and Procedures: Assist in developing, initiating, maintaining, and revising policies and procedures for the general operation of the Corporate Compliance Program and its related activities to prevent illegal, unethical, or improper conduct as well as fraud, waste and abuse; and, to ensure continuing compliance and relevance with changing regulatory pronouncements. Monitor and track stakeholder policies and procedures (such as state, MCO, county) and ensure agency compliance
  • Conduct Investigations: In some situations, the Compliance & Administrative Coordinator may support in conducting an investigation in consultation with the Managing Director of Compliance & Quality and shall maintain awareness of and report back about such investigations and their outcome, the response provided to the complainant, and the requisite follow up
  • Reporting: Ensure proper reporting of violations or potential violations to duly authorized enforcement agencies as appropriate and/or required
  • Communications: Maintain the compliance email address and hotline communications
  • Internal Auditing: Assist in agency internal auditing plan including quarterly monitoring, service verification, claims auditing, and partner IBHS agency auditing. Assist to develop and implement an annual audit plan. Complete new hire file chart audits and new hire driving record checks
  • Training: Work with the Managing Director of Compliance & Quality and the Human Resources Department, to support in maintaining and tracking the CFF agency required trainings. This includes updating, delivering, creating certificates and tracking
  • Assist in Monitoring, Tracking & Data Entry of Compliance & Quality Activities of the Programs: Maintain an understanding of the compliance activities of the various agency programs and coordinate compliance and quality activities of individual agency departments. Remain abreast of the status of all compliance activities and identify trends
  • Monitor and track the performance of various compliance and quality activities to recommend improvements and effectiveness. Items can include voter’s registration process monthly, training/certificates, C-SSRS data entry monthly, and information for credentialing/validation
  • Monitor Corrective Action Plans: Work under the Managing Director of Compliance & Quality to monitor and report back on agency programs to review the implementation of corrective action plans as indicated by stakeholders
  • Order flowers for staff for appropriate life events
  • Create and order staff business cards, and office supplies as needed
  • Code invoices and credit cards for the Fiscal department
  • Develop and/or refine office systems and protocols and related P&P. Furthermore, the Administrative Coordinator will work with the APA’s and/or office representatives to implement these processes. For example, maintain postage machines and Canon machines in all CFF offices, which includes replenishment and troubleshooting of all machines
  • Additional duties as assigned or requested from the admin departments
Essential Functions:
  • Assist administrative staff in daily operations
  • Utilize agency-issued equipment with expertise in computer systems including but not limited to Microsoft Office, Electronic Medical Records, and Network Drives
  • Collect data for internal and external stakeholders and develop reports in accordance with local, state, and program regulations
  • Partner with all agency programs and leaders to provide compliance and quality guidance
  • Organize electronic files and maintain confidentiality
  • Represent compliance and quality at meetings, trainings, and special events; Prepare and give presentations in-person and/or virtually
  • Track due dates and deadlines and provide communication to responsible parties in a timely manner
Work Environment:
  • Work in a standard office environment
  • Hybrid role with a minimum of 2 days in the office per week, with one of the required days being a Monday
  • Monday through Friday, 9:30am-5:30pm
