Choate Rosemary Hall is Hiring a Manager of Arts Center Operations Near Wallingford, CT

The Manager of Arts Center Operations manages the operations (marketing, scheduling, facilities) for all events within the Choate Rosemary Hall Arts Center, prioritizing the needs of the academic and co-curricular program of the Arts Department and other core school functions, while also overseeing and supporting all aspects of the guest artist program and community programs. More specifically, the Manager of Arts Center Operations will:

Program Support and Marketing

  • Manage the programming and communications for the academic, co-curricular, and guest artist calendar.
  • Ensure all relevant support is provided for student shows and performances, school-wide events (e.g. school meeting), student programming use of the space (e.g. pep rally), and all other school-sponsored events (e.g., Family Weekend, Admissions and College Counseling events, etc.).
  • Coordinate appropriate event staffing (e.g. technical support, front of house staff) for all scheduled events.
  • Collaborate extensively with the Communications Department and Arts Department Head on internal and external print and email marketing materials for performances, gallery openings and other events, as well as print materials for all Arts productions and internal-use signage. Assist Communications Department with formulating press releases, press release distribution, and other publicity. Manage Arts Department social media accounts. Design all marketing materials including posters, flyers, and social media posts for Guest artists presentations, student performances, and exhibitions in the Arts Center spaces.
  • Promote/market all events to appropriate audiences, on and off campus, which would include creation of materials needed (posters, social media posts, etc.).
  • Support and collaborate with Sound Technician position; ensure sound systems (Colony Hall auditorium acoustical treatments, etc.) are being used appropriately during programs.
  • Coordinate logistics for all Arts Department events and PMAC performance series, including transportation, hotel/hospitality for guests of the Arts Center and related catering. 
  • Manage all aspects of the box office, including ticketing, income, and record keeping. 

Schedule, Calendar, and Space Management

  • In close collaboration with the Arts Department Head and Assistant Manager, develop and maintain the Arts Center calendar for all venues (Colony Hall auditorium and recital hall, Paul Mellon Arts Center main stage, black box theater, and gallery, and Gelb Theater), prioritizing the needs of the Arts Department and other core school events (e.g. school meeting, Family Weekend events). 
  • Maximize use of the Arts Center’s multiple spaces and buildings to host appropriate events in support of community partners, generating additional rental revenue for the school.
  • In collaboration with the Arts Department Head, schedule space usage for all Arts Department classes, performances, rehearsals, and events. Collaborate with the Manager of Campus Events on both internal and external use of Arts spaces. 
  • Serve as point person for other event managers and schedulers across campus regarding venue needs, scheduling, and event support.
  • Supervise and manage a team of arts center staff, including scheduling and training.
  • Train and supervise staffing of Arts building monitors (three to five part-time employees), box office (two part-time employees), front of house manager (one part-time employee), and ushers (rotating crew of students).

Facilities and Office Management

  • Ensure that all of the Arts Center facilities are maintained in a clean, safe, aesthetically pleasing, and welcoming way in keeping with school safety and campus/building design principles.
  • Ensure the order and functionality of all classrooms and rehearsal spaces are maintained.
  • Ensure Arts Center maintenance with Facilities, ABM, and ITS is coordinated.
  • Ensure that the Arts Department office is maintained and stocked with office and other necessary supplies.
  • Ensure the front administrative office and box office are clean and organized at all times.
  • Perform daily walkthroughs to ensure all facilities are up to quality standards.
  • Coordinate vendor relationships for facilities maintenance, including scheduling cleaning company and obtaining quotes for general repairs/maintenance in collaboration with the Facilities Department.
