Christiana Care is looking for a full-time Executive Assistant to provide administrative support to the Vice President and HR Leadership team to maximize their effectiveness and efficiency Position requires an independent problem solver and leader who can function effectively in a rapidly growing and changing environment. Works as a team member with other staff to provide effective coverage for all executives within the suite. ChristianaCare is a nonprofit health system with a mission of service. Principal duties and responsibilities: Maintains schedules for multiple members of the HR Leadership team utilizing electronic Outlook calendars. Schedules meetings for HR Leadership team as requested. Provides all pertinent information needed for scheduled appointments and coordinates room reservation, catering etc. as needed. Provides administrative support including typing and drafting correspondence, attends meetings, composes agendas, takes and types minutes, maintains up to date filing systems, composes presentations, opening, screening and delivery of mail. etc. Manages and maintains department contracts to ensure that HR Leadership has all information necessary to ensure timely handling (renewal, termination, and renegotiation) occurs. Manages preparation, submittal and tracking of Requisitions, Purchase Orders, Check Requests, and Travel Expense Statements. Tracks and processes Credit card reconciliation and payments. Processes invoices for services and equipment for HR. Maintains and stocks office supplies for team including requisition equipment for new hires. Checks receipts for incoming materials. Maintains organized files for tracking. Leads HR Department orientation and scheduling of new hires onboarding meetings of key stakeholders Prepares minutes for team huddle and submits to CHRO executive Assistant. Maintains organized department budget files and keeps HR Leadership informed on expenditures tracking recruitment related expenses to candidate hires. Makes travel reservations, orders tickets, makes and confirms lodging and airline reservations Maintains time and attendance information for the department including timekeeping in UKG Answers telephones and provides assistance and/or direction for callers. Greets visitors to HR and notifies HR Leadership of their arrival. Develops or improve PowerPoint presentations as requested. Assists in coordination of Facility requests (e.g. moving of IT equipment, furniture moving, painting, carpeting, electrical and HVAC problems) for HR Department. Position may work remotely; must report on site at least 1 X weekly for department mail and inventory supplies. Conducts research, monitors web for HR related and relevant information Communicates between all levels within the Human Resources Department and other departments, applying both written and verbal communication skills. Always maintains confidentiality. Provides back-up support for other Executive Assistants in HR as needed. Attends staff meetings and completes required in-services timely. Hours: Day Shift – Hybrid role - 2 days on-site at Avenue North Education and experience requirements: High school diploma or equivalent required; completion of a business college program in Secretarial Science or Office Administration or related field preferred. Four years prior experience in Administrative Assistant position. Knowledge, Skill, and Ability Requirements: Ability to use Microsoft Office applications Technical proficiency necessary to analyze data Knowledge of Christiana Care administrative policies, procedures, and operations. Knowledge of basic accounting principles. Knowledge of Microsoft Office software packages including Outlook, Word, Excel and Power Point, web form design and Access. Skill in maintaining accurate filing systems. Skill in written and verbal communications. Maintain confidential information and materials. Coordinate and maintain different projects simultaneously. Ability to use tact, judgment, and diplomacy. Skill in telephone communication and public relations Work as a team player Maintain a cheerful and patient nature and be able to manage stress positively. Work effectively with others in a team environment. Interact with all levels of management and staff. Maintain a professional and mature approach towards responsibilities.
