The Role The primary function of this role is to act as the central point for the successful execution of 20th Century Evening sales by monitoring and tracking all activities and elements related to incoming and outgoing property. The Sale Coordinator manages all sale related deadlines and client paperwork and charges to ensure they are accurately reflected in Christie's systems. The sale coordinator will also act as a liaison both internally and externally to gather or dispatch consignment and property related information. Supporting a global sale of masterpieces, the Evening Sale Coordinator must be a dynamic problem solver, organized, calm under pressure and be able to communicate with professionalism and clarity to key stakeholders across the 20/21 division, senior team members and clients. Specific duties & responsibilities will include but are not limited to Successful execution of the 20th C Evening Sale and any associated collections Generate, manage and track status of consignment paperwork to ensure compliance requirements are met and required records are maintained Request and manage bespoke seller agreement and stock order creation while maintaining the upmost discretion Collaborate with Legal and International Commercial Office to generate bespoke contracts Collaborate with international stakeholders to ensure seamless client experience Proactively track receipt of property and follow-up on open issues and missing items Organize inbound shipments of property for sale Update budget runner and illustrated runner with weekly updates to Business Management team Maintain and update 20th Century Sale runner and participate in weekly runner meetings to ensure accurate information Organize International Chase and Pricing Calls for NY and maintain departmental chase list Lead and collate agenda items for Daily Deal Discussion, record and disseminate meeting minutes in a timely manner Identify key risks and manage solutions in collaboration with Business Management, Commercial Office, Risk and Legal Manage Property Movement including tours, shipping requests, securing client approvals, flag need for export licenses and track site transfers, local transfers, temp releases, transfer to third party, and hand carries Manage and track client charges including all requests for creation through central support group and regular review of system data to ensure accurate reporting In collaboration with Publication Manager, manage catalogue production process and manage online website production process including cataloguing, photography, lotting up and copyright status and monitor and enforce all relevant deadlines Monitor the progress of cataloguing, photography, essay writing, lotting up and copyright status Attend hilling sessions to monitor activity and required actions Monitor and enforce all relevant catalogue and sale deadlines; act as main point of contact and liaison with photography studio, production teams and Specialists Act as liaison to Operations and Production teams for sale exhibition and auction set up; prepare relevant assets as required Manage reserve amendments and ensure relevant pre-sale documentation is sent to client Manage sale activities including client views, condition report dispatch and bids submission Work with Business Manager to process and track all costs associated with the Evening sale ensuring accurate post sale settlement for all sale consignors Partner with Client Accounting to review all settlement paperwork and ensure settlement statements are accurate Liaise with high profile clients and specialists as needed for all consignment related information, details, and issues while maintaining the upmost discretion Support Business Manager on market share stats and competitive reports Compose and edit correspondence, reports, memoranda, and other material Schedule appointments and meetings, liaising with clients and specialists Answer and screen incoming phone calls to the department Work with Business Manager to prepare materials for pre-sale finance meetings Perform other duties as assigned by Manager The Candidate Bachelor’s degree required 2 years of work experience as a Sale Coordinator with auction house experience Tier 2 Sale Coordinator required, if applicable Some working knowledge of deal structures and legal contracts Strong project management skills including ability to multi-task, prioritize and manage multiple complex processes Meticulous attention to detail and proven strong follow-up skills Exceptional client service skills including superior written and spoken communication Excellent interpersonal skills, demonstrated ability to work collaboratively with multiple cross functional teams Demonstrated ability to work independently and as part of a team Demonstrated ability to remain calm in stressful situations Demonstrated ability to creatively problem solve Proactive and solution oriented-attitude Strong knowledge of JDE, COS, Media Library and Canvas Strong knowledge of Excel, Outlook and Sharepoint A passion for the art world, and knowledge or interest in learning auction process The Benefits Comprehensive Medical, Dental and Vision care plans for employees and dependents (On average, Christie’s pays 80% of total premiums) 401(k) Savings Plan – Christie’s provides a matching contribution up to 5% (subject to IRS limits) Life Insurance - 3x base salary (100% paid by Christie’s) Disability Insurance (100% paid by Christie’s) Generous time-off and leave policies; including 100% Paid Family Leave up to 16 weeks.
