About the Position: This Ophthalmic Billing Specialist maintaining correspondence with carriers and documentation regarding the same; responsible for managing patient bills, processing claims accurately and in a timely manner, and ensuring billing protocols are followed promptly. This involves generating detailed invoices, processing insurance claims with precision, managing patient account payments, and following up on unpaid claims. The ideal candidate should possess excellent communication skills, be proficient in industry-standard practice management (PM) billing software, and always maintain patient confidentiality.

Education and Experience:

  1. A high school diploma or equivalent.
  2. Coursework in medical billing and coding are a plus.
  3. Familiarity with ICD-10 coding and CPT codes
  4. At least one year of experience in medical billing or coding.
  5. Understanding of vision insurance, Medicare and private insurance policies
  6. Knowledge of ophthalmology terminology

Essential Skills and Abilities:

  1. A firm grasp of medical billing procedures
  2. The ability to stay current with changing Medicare and private insurance healthcare regulation and trends
  3. Proficient in computer skills and software applications.
  4. The ability to handle patient phone calls compassionately and efficiently
  5. Attention to detail and accuracy.
  6. Excellent follow-up skills, ability to stay organized and meet deadlines
  7. Demonstrated ability to work well with co-workers
  8. Understanding of the life cycle of a claim, from the check-in process to appealing denials.

Primary Responsibilities

  1. Review patient bills to ensure the accuracy and completeness of the information
  2. Process claims promptly to ensure reimbursements for services provided
  3. Is responsible for the entire collection processes of all patients.
  4. Processes payments for eye care services and products.
  5. Actively work any claim rejections in the clearinghouse
  6. Codes diagnoses and procedures according to standard guidelines.
  7. Review pending claims within 30 days to determine if claim will be denied
  8. Work with physicians and clinical staff to select appropriate CPT codes for billing
  9. Resolves billing issues and discrepancies with patients and insurance companies.
  10. Processes and mails patient statements weekly.
  11. Calls on insurance/patient accounts that are 60 days past due.
  12. Establishes possible payment plans if approved by the CFO.
  13. Works with the front desk team to ensure same-day collections for co-pays, refraction fees, and outstanding patient balances.
  14. Monitors and helps CFO respond to insurance letters for incorrect payments or chart audits.
  15. Meets with the CFO weekly to review and discuss accounts receivable balances exceeding 90 days.
  16. Remedies any previously approved insurance claim that has subsequently been denied.
  17. Handles all patient complaints regarding billing promptly and consistently.
  18. Coordinates all patient and insurance refunds with the Clinical Director or CFO.
  19. Coordinates the electronic processes of charges, superbills, insurance forms, and patient statements.
  20. Responds to billing phone calls and questions
  21. Performs other tasks as required or delegated by CFO
