Role: Executive Assistant to CWF Founder & Chief Disruptor

Citizen Warrior Foundation (CWF) is an all VOLUNTEER US-based federally exempt nonprofit dedicated to championing financial justice in emerging technologies, with a focus on setting standards and identifying fraud in Web3, digital assets, and now more than ever, early AI seed rounds. Our mission is to combat and expose criminal practices, ensuring justice for victims and introducing voluntary accreditation licensing for digital asset platforms. Through collaborative efforts with leading organizations and NGOs, we aim to foster an ecosystem of innovation, transparency, and regulatory compliance. Role Schedule:

M-F, 20hrs/wk., 3mo-6mo depending on standing and objectives of volunteer in good standing.

Role Description:

This role requires a candidate with exceptional organizational abilities, advanced proficiency in Microsoft Office Suite and project management software, and a keen attention to detail. The ability to maintain a high level of confidentiality, prioritize tasks effectively, and communicate clearly with diverse teams is essential. The ideal Executive Assistant will thrive in a dynamic environment, consistently demonstrating a proactive and resourceful approach to problem-solving. Select job-related expenses will be covered, with complete expense reports submitted monthly per company policy.

Executive Assistant Core Responsibilities:

Calendar and Meeting Management

  • Coordinate and maintain the CEO’s schedule, prioritizing and arranging appointments, meetings, and travel plans.
  • Prepare agendas, minutes, and follow-up action items for meetings, ensuring all necessary materials are available in advance.

Communication and Correspondence

  • Act as the primary point of contact for internal and external communications, managing emails, phone calls, and other correspondence with professionalism and confidentiality.
  • Draft, review, and edit reports, presentations, and other documents as needed

Technology and Social Media

  • Assist in managing the CEO’s digital presence, including social media accounts and professional profiles.
  • Stay up-to-date with the latest technology trends and tools to enhance productivity and streamline workflows.

Financial and Legal Assistance

  • Support the CEO with financial tasks, such as budgeting, expense tracking, and preparing financial reports.
  • Liaise with legal advisors to coordinate contracts, agreements, and compliance-related documentation.

Project Management

  • Oversee and coordinate special projects, ensuring timely completion and alignment with the CEO’s strategic goals.
  • Facilitate cross-functional collaboration to achieve project milestones and deliverables.

Travel and Event Coordination

  • Arrange travel itineraries, accommodations, and logistics for the CEO’s business trips and events.
  • Organize and manage company events, conferences, and executive retreats, ensuring all details are meticulously planned.

Media Exposure, Marketing & Public Relations:

  • Evaluate overall sentiment regarding CWF's various projects

  • Develop and maintain connections in Legacy Media (broadcast, print), and New Media to identify ways for CWF to increase awareness of any wrongdoing in the industry with which we don't intend to take to court but rather mediate their excesses via mere exposure.

Qualifications:

An exceptional Executive Assistant to the CEO, capable of managing communications, reading and summarizing contracts, conducting research to present actionable summaries, and freeing up time for the Executive DIrector during months of litigation-focused work.

This individual must be able to thrive each by working independently, in one-on-one settings, and within teams. Proficiency with AI applications like ChatGBT is required (prompts and application).

Core Qualifications:

  • Education and Experience
  • Bachelor’s degree preferred.
  • 4 years in law, paralegal or JD preferred
  • Technical Proficiency (medium to high) quick self-motivated learner
  • Expert in MS Office and Strong in Social Media and Project Management tools.
  • Skilled in AI applications for efficiency.
  • Strong Communication Skills
  • Exceptional written and verbal communication.
  • Strong interpersonal skills for stakeholder interaction.
  • Organizational and Analytical Skills
  • Fundraising and DOnor Management Experience Preferred
  • Excellent organizational abilities and multitasking with strong attention to detail and critical thinking.
  • Strong research and summary skills.
  • Confidentiality and Discretion (Signed NDA is mandatory given the nature of our activities).
  • Proven ability to handle sensitive information discreetly.
  • Experience with legal document management preferred
  • Self-starter with minimal supervision needed.
  • Team player with cross-departmental collaboration skills.
  • Logistics and Flexibility
  • Own vehicle required; expenses reimbursed per policy.
  • Adaptable to urgent tasks and changing priorities.
  • This role demands a proactive, reliable, and tech(legal/finance)-savvy assistant who will enhance the CEO’s productivity and ensure seamless office operations and maximum time restored to pursue i.e. criminal depositions.
