City of AlabasterAdministrative Clerk - Public WorksMAKING A DIFFERENCE IN THE COMMUNITY WE SERVE!Salary Range: $18.33 - $25.37 per hourPosition provides customer service and performs a variety of administrative, and bookkeeping functions for the Public Works division. Position requires exceptional computer skills using Microsoft applications (word, excel, power point, outlook), ability to adapt and learn multiple software programs and strong attention to organization & detail.
Position includes the following but not limited to:Serves as the first point of contact for the department/division; answers telephone calls and emails; assists walk-in customers; responds to inquiries, problems, and complaints (including online “report a concern”) from the general public and forwards to appropriate staff, department, or outside agency as appropriate; provides customers with accurate information on department services and processes.
Prepares a wide variety of administrative, financial, and/or personnel documents such as, but not limited to, requisitions, purchase orders, work orders, time sheets, and travel requests, scanning, cataloging items.
Receives and distributes various forms and correspondence; reviews for completeness and accuracy; distributes to appropriate personnel, departments, or other agencies.
Maintains records both in print and electronically; files and retrieves records in accordance with established standards and record retention guidelines.
Enters, updates and verifies data into various systems for use by all departmental personnel; reviews and verifies accuracy of data; runs and distributes reports as needed.
Monitors and inventories supplies; makes or recommends orders as needed.
Process department services; issues receipts; records payments; enters data into a computer; and reconciles receipts with applicable reports.
May assist with event preparation which may include scheduling vendors and/or venues, purchasing supplies, and/or preparing promotional materials.
Records various statistics related to departmental operations, prepares and monitors monthly budget reports, assist in preparing monthly council reports.
Assist mechanics with scheduling repairs, updating fleet maintenance software and tracking expenses associated with city fleet maintenance of vehicles and equipment across city.
MINIMUM QUALIFICATIONS:High School diploma or GED required; two years of administrative/clerical experience and experience dealing with the public on a daily basis. Strong preference of financial experience. Must possess a valid Alabama driver’s license.
ESSENTIAL PHYSICAL REQUIREMENTS:The physical activities required for this position involve: Frequent sitting, using hand and fingers, talking, seeing and hearing. Occasional standing, walking, reaching with hands and arms.This position requires lifting:Up to 25 pounds occasionally.
