City of Lakewood (CO) is Hiring an Office Assistant - Legal (DV) Near Lakewood, WA

This is a part-time (.50 FTE) AFSCME represented position that is *grant funded thru December 31, 2024 . *The grant has been funded since 2013..
The posting is open until filled or further notice. Applications will be reviewed as received. First round of interviews will be held on Wednesday July 17th, 2024.
Under the direction of an assigned supervisor, perform a variety of clerical, receptionist and office support duties in an assigned office; provide information and assistance to others; prepare and maintain a variety of financial, statistical or narrative reports and records.
Essential duties may include but are not limited to the following:
Attendance: 
Maintain regular, reliable, and punctual attendance.

Calendar:
  • Maintain calendars and schedules of activities, meetings, and various events for department staff; coordinate activities with City departments, the public, and/or outside agencies.
Clerical:
  • Perform a variety of clerical and office support duties in an assigned office such as developing and maintaining confidential or extensive filing systems, posting records, making arithmetic computations and compiling and recording information from clearly indicated sources; prioritize duties and assignments to assure efficient, smooth and timely office work flow.
  • Inspect data, verify accuracy and input into computerized data base; update, modify and correct data as needed.

Correspondence:
  • Compose, type, and prepare correspondence, memoranda, reports, forms, and other documents; proofread and edit written materials to ensure accuracy and full execution.
Customer Service:
  • Answer, screen and direct phone calls from the general public; take messages and refer callers to appropriate offices; operate a central switchboard as assigned.
  • Answer, screen and direct phone calls fom the public, calls to and from potential criminal witnesses in domestic violence cases to confirm information in the police report, update any witness contact information and refer witnesses to appropriate YWCA contact for other resource information.
  • Receive and direct visitors; provide information regarding proper department to contact for specific issues or requests; provide tours and information regarding use of City facilities.
  • Provide information and services to other City departments and personnel, various outside agencies and organizations and the general public; explain programs, activities, policies and procedures within scope of authority; provide information of a general or limited technical nature.
Fees:
  • Collect fees, fines and other monies; count money, make change and prepare receipts.
Files:
  • Create and maintain files related to specific department needs.
Mail:
  • Prepare outgoing mail; review and distribute incoming mail, discard items not requiring supervisor or staff review; maintain mail supply items such as Federal Express labels, envelopes, and certified mail labels.
Office Support:
  • Schedule appointments, meetings and/or inspections for office personnel; notify City personnel, citizens, contractors and other individuals of the time and place of various meetings and inspections.
  • Process forms, applications and other materials according to established procedures; route and track documents and other materials for review and approval; assure compliance with established procedures, policies and regulations.
  • Requisition office supplies to maintain an adequate stock of supplies; complete documentation and forward to supervisor for signature authority.
Reports and Records:
  • Type and prepare correspondence, memoranda, requisitions, forms, and other documents, including correspondence of a confidential nature; proofread and edit written materials as required; operate word processing equipment to enter data and generate letters, records and reports.
  • Prepare and maintain a variety of records, logs and files; locate materials and information in records and files as required; compile, collate and duplicate information; prepare and distribute information packets for assigned office activities.
  • Collect and compile periodic reports and perform special projects as assigned; maintain records and database information on the status of projects and on-going office activities; maintain records of office activities, customer comments, and financial, payroll, and statistical data.

Perform related duties as assigned. 
 
Any combination equivalent to graduation from high school or equivalent and one year of office, receptionist, and/or clerical experience.
Valid Washington State driver's license.
Must be at least 18(eighteen) years of age.
KNOWLEDGE OF:
Modern office practices, procedures and equipment.
Basic financial and statistical record-keeping techniques.
Operation of office machines including computer equipment.
Various software applications used in the office, such as word processing and spreadsheets.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Telephone techniques and etiquette.
Interpersonal skills using tact, patience and courtesy.
Operate a switchboard.
 
ABILITY TO:
Perform clerical and office support duties.
Determine appropriate action within clearly defined guidelines.
Apply and explain policies, procedures, rules and regulations.
Operate a computer or other office equipment to enter data, maintain records and generate reports.
Type at 45 words per minute from clear copy.
Meet schedules and time lines.
Understand and work within scope of authority.
Answer telephones and greet the public courteously.
Operate office equipment such as computers, typewriters, calculators and copiers.
Understand and follow oral and written direction.
Maintain records and filing systems.
Communicate effectively with others both orally and in writing.
Establish and maintain cooperative and effective working relationships with others.
Accurately proofread materials.

PHYSICAL ABILITIES:
 
Constant Demands: Seeing, hearing, and speech abilities to perform essential functions and communicate with others. Dexterity of hands and fingers to operate office equipment, sitting and operating a keyboard for extended periods of time, hearing and speaking to exchange information. Requires mental acuity to ensure thorough mental analysis of situations in a fast-paced environment.
Frequent Demands: Repetitive hand and arm motion; handling/grasping; fine finger manipulation; talking; viewing computer screen; using phone communications: sitting for extended periods of time.
Occasional Demands: Walking standing, driving lifting (maximum of 20 pounds); carrying; climbing: pushing/pulling; bending and twisting at the waist; crouching; kneeling/squatting; reaching (below the knees, knees to shoulder, and above the shoulders); foot controls.
 
HAZARDS
Exposure to physical hazard may occur occasionally when interacting with hostile participants with potential for violence.
FLSA DESIGNATION 
Non-Exempt, eligible for overtime.
