City of Macedonia Job Description – Accounts Receivable AdministratorJob Title: Accounts Receivable Administrator FLSA Status: Non-exempt, Full-time General Description of Work: Assists the Finance department with accounts receivable, and provides clerical support to Director of Finance. Performs duties of other Finance staff as needed or assigned. Supervision Received: Receives specific and general supervision from the Director of Finance. Schedule: Regular business hours, or as determined by supervisor; overtime as directed. Required Minimum Qualifications: High school education and at least one (1) year of previous experience in bookkeeping, accounting, or similar position, or an equivalent combination of education and experience which provides the necessary knowledge, skills, and abilities to perform the job. An individual who poses a threat to himself/herself or others in the workplace is deemed not qualified for the job.Preferred Certifications: None Primary Duties
Accounts Receivable
Receives payments for various sources including but not limited to EMS services, ACH, dispatching services, prisoner housing, clothing allowances and electric light services
Reviews payments to ensure accuracy of deposit records and enters data to record payments into financial software system
Performs daily reconciliation of accounts to ensure records are accurate and current
Compiles daily deposits and prepares deposit of cash and check payments to various City accounts
Take cash deposits to the bank
Receives and receipts payments from various City personnel from Recreation, Building, Courts and various other departments
Billing
Processes billings to the City, audits purchase orders, posts data to account record, obtains required signatures as needed
Maintains various accounts receivable records including but not limited to clothing allowance, escrow fees, inspection and engineering fees, ambulance fees and various state and local taxes
Maintaining rental programs records receipts when paid, submits new fee billings to the County
Collections
Monitors routine billings to ensure payments are received; calls vendors, etc. to inquire and encourage payment of bills
Answers calls and researches inquiries for alarm billing, utilities and other billable items
Researches accounts to verify billing data
Clerical Support
Assists auditors as needed by researching, preparing documents and reports as requested
Performs routine office procedures including receptionist duties, filing, copying, faxing and others as needed
Completes routine forms and documentation as needed for City's vehicle insurance providers
Assists Regional Income Tax Authority representatives as needed
Capital Assets
Maintains inventory records of capital assets; enters data to establish record, identify assets and track items scrapped or sold
Assigns and posts asset identification numbers
Miscellaneous
Assists Director of Finance with special projects or tasks as assigned
Assists Finance staff as needed with accounts payable, asset inventory, payroll and other duties as needed or assigned
Attends meetings and training as assigned
Performs additional duties as needed or assigned
Required Knowledge, Skills And Abilities
Knowledge of modern principles and practices of bookkeeping, accounting and internal/external auditing
Knowledge of municipal government finance practices
Knowledge of state and federal finance regulations
Knowledge of generally accepted accounting principles
Knowledge of financial accounting software systems
Knowledge of local, state and federal tax laws
Knowledge of fixed asset accounting methods
Ability to apply local, state and federal tax and finance rules and regulations
Ability to follow complex oral and written directions
Ability to work with minimal supervision and exercise good judgment
Ability to prepare and maintain accurate records
Ability to effectively work and communicate with co-workers, public officials and the general public
Ability to operate computer software programs including advanced operations in Microsoft Excel, Word and financial accounting systems
Ability to prepare and maintain accurate records and reports
Ability to sit, see, hear, speak audibly and operate a computer
Work Environment
