Job Description

Under general supervision and procedural control, Receptionist / Administrative Clerk performs responsible and specialized clerical work to include entering information into computer, using keyboard, preparing correspondence and other documents, copying, proofreading, maintaining electronic and manual file systems, answering phones, providing customer service, operating office equipment and assisting with clerical and administrative functions.

Employee works with many different records or forms, receives and prepares information for further processing or record keeping.

Employee assists with other specialized departmental functions and customer services.

Job Responsibilities

1. Performs general and specialized office clerical work such as computer word processing, data entry, and filing, copying and operating office equipment.

2. Performs receptionist duties to include answering phones, routing calls, taking messages and providing general public information in a friendly professional manner.

3. Dispatches work crews via radio, pager and computerized work assignment system.

4. Provides customer service professionally using courtesy, tact and diplomacy.

5. Performs specialized job related departmental duties.

6. Collects statistical or other information and reviews, verifies, proofreads and corrects data, records and forms.

7. Processes, distributes, and files information, records, forms, documents and other information.

8. Maintains a clean and orderly customer checkout area and office work area.

9. Maintains electronic and manual records and files accurately and in an orderly manner.

10. Responds to inquiries in a professional manner providing accurate public information about services without disclosing confidential or unauthorized information.

11. Answers customers' questions, provides information on procedures and resolves common customer concerns in a diplomatic manner.

12. Opens mail; sorts, routes or files correspondence or forms.

13. Responsible for accurately billing customers for services rendered.

14. Performs other related duties as assigned to enhance the overall operations and services of the department.

15. Performs cross-training and back-up services for other departmental positions and other work assignments as assigned.

17. May assist other personnel in the department when necessary.

18. May order and receive office supplies as assigned, make appointments and maintains calendar, prepare agendas, prepare correspondence or reports as assigned, prepare travel arrangement as directed, maintain records, secure transportation, hotel reservations / accommodations.

19. Performs other related duties as required or necessary.

Knowledge, Skills and Abilities

Minimum Requirements - 1.Job requires an accredited high school diploma or GED equivalent.

2.Job requires a current, valid Texas Class C driver’s license.

3.Job requires two (2) years of office clerical and customer service related work experience.

4.Must be able to be exact and highly accurate in performing duties.

5.Must be able to use a computer and general office equipment such as copy machines, and calculators.

6.Must be able to work with various software packages including, Microsoft Word, Excel, power point and other Microsoft Office Tools.

7.Must be able to greet the public in a courteous manner using tact and diplomacy.

8.Must be able to deal with difficult customers in a professional and diplomatic manner.

9.Must be bilingual and able to communicate effectively in English and Spanish.

10.Must have sufficient knowledge of the general clerical field to perform normal work as assigned.

Physical Requirements

Office environment working conditions are good and relatively free from unpleasant environmental conditions or hazards.

Additional Information

1. This is a safety sensitive position subject to random drug and alcohol testing.

2. This position has no supervisory responsibilities.

3. Assists as assigned waiting to be engaged during hurricane and other emergencies.

2. Assists as needed to include working on irregular, night, weekend shifts and / or holidays.
